Description
HR Beyond Limits is hiring an Accounts Assistant to support daily finance operations within the production and distribution environment, ensuring accurate recording of transactions, strong cost control, and compliance with Ugandan statutory requirements.
The role requires a detail-oriented and disciplined individual with the ability to manage both financial records and inventory-related processes in a fast-paced FMCG setting.
Key Responsibilities
Financial Operations & Transaction Processing
- Process supplier payments, staff claims, and internal transfers, ensuring proper approvals and supporting documentation.
- Prepare and post payment vouchers, cash journals, and general ledger entries accurately and on time.
- Maintain and reconcile petty cash and cash advances, ensuring accountability at all times.
- Support daily and weekly cash flow tracking and reporting.
- Assist with bank transactions, reconciliations, and follow-ups where required.
Inventory & Production Cost Control (Core Focus Area)
- Maintain accurate records of raw materials, packaging materials, work-in-progress, and finished goods.
- Support daily and periodic stock counts and reconcile variances with physical stock.
- Track and record production costs, including materials usage, labor input, and overhead allocation.
- Monitor and report wastage, variances, and inefficiencies in production.
- Work closely with stores and production teams to ensure all stock movements are properly documented and authorized.
- Support implementation of FIFO (First In, First Out) and expiry tracking for materials.
Records Management & Documentation
- Maintain well-organized and up-to-date accounting records (physical and electronic).
- Ensure proper filing and easy retrieval of all financial documents.
- Update and maintain the fixed asset register and inventory schedules.
- Ensure all documentation meets audit and compliance standards.
Compliance & Statutory Reporting (Uganda-Specific)
- Assist in preparation and timely submission of statutory obligations, including:
- PAYE (URA)
- NSSF contributions
- Local Service Tax (LST)
- Ensure all transactions are compliant with URA regulations and company policies.
- Support internal and external audits by preparing schedules and responding to queries.
- Assist in strengthening internal controls to minimize fraud and errors.
General Finance & Operational Support
- Support the Finance Manager in daily operations and reporting.
- Step in to handle basic finance functions in their absence (within approved limits).
- Identify and promptly report discrepancies, errors, or unusual transactions.
- Contribute to continuous improvement of financial systems, controls, and reporting processes.
Key Skills and Competencies
- Proficiency in accounting software (e.g., Tally, QuickBooks, or ERP systems)
- Strong numerical accuracy and attention to detail
- Good understanding of inventory and cost control principles
- Basic to intermediate Excel skills (reconciliations, tracking, reporting)
- High level of integrity and accountability
- Ability to work under pressure and meet strict deadlines
Qualifications and Experience
- Diploma or Bachelor’s Degree in Accounting, Finance, or related field.
- Minimum of 1–2 years’ experience, preferably in FMCG, manufacturing, or a busy commercial environment.
- Working knowledge of Ugandan tax regulations (URA, NSSF, LST) is required.
- Basic understanding of inventory management and production costing is highly desirable.
