Position Summary
Provide grants and contracts support and oversight to an assigned portfolio of country offices from pre-award through close-out. Process award and sub-agreements in compliance with IPA policies and procedures. Compliance oversight with donors’ award terms and conditions. Training and capacity building of assigned CO staff. Record keeping and update on IPA business systems (Salesforce, Box, and Replicon).
Responsibilities
- Oversee the lifecycle of grants and contracts. Creates and manages workflow for award agreement related activities with strict adherence to compliance. Pre-award thru Grant Close-out.
- Serve as a primary resource for Country Office staff and Project teams on awards and donor requirements, and interpretation of related donor rules and regulations.
- Ensure compliance with donor requirements by tracking the terms and conditions of grants and contracts via regular and reoccurring portfolio review meetings.
- Train staff on documenting and preparing clear amendment requests. Work with project teams to request and secure award modifications on a timely basis.
- Review draft award agreements including amendments, assist with negotiations of terms and conditions with donors.
- Audit level portfolio documentation and record keeping.
- Manage the subrecipient process within the assigned portfolio from pre-award to closeout.
- Process due diligence for external grants and subrecipients.
- Accurate and timely set up of awards in IPA systems (Salesforce, Box, Replicon).
- Facilitate Grants, Programs Account Receivable and financial reporting meetings.
- Facilitate the deliverable process.
Qualifications
- At least 5+ years’ professional work experience in grants management, procurement and/or contract administration
- Demonstrated capacity to handle a portfolio of awards ranging in award size and volume.
- Ability to work effectively in a fast-paced and changing environment and to handle multiple tasks and demands, and establish priorities, while maintaining a positive attitude and providing exemplary customer service.
- Attention to detail and a good business acumen.
- Ability to effectively liaise across multiple departments, countries, and time zones.
- Analytical and problem-solving skills; Self organized; Good with numbers.
- Professional experience with Federal agencies, international organizations, private foundations, and educational institutions.
- Excellent interpersonal skills and comfortable working with peers of diverse cultural and geographic backgrounds.
- Experience with Salesforce is a plus/added advantage.
- Excellent spoken and written communication skills in English.
- Bachelor’s degree with 5 years of experience in grants management, procurement, contract administration and compliance oversight OR
- Associate degree in business, and 7+ years of professional experience in grants management.

Location
The role is based in an IPA country office. We’re especially interested in candidates able to work from Peru or Colombia for logistical coordination, though strong candidates in other offices are welcome to apply
