1. Role Purpose
The Maids Management Trainee is responsible for using Lafab Solutions’ Maids Management System to help deliver a reliable, professional and continuously improving domestic worker placement service.
The role is not simply about finding maids for clients. The trainee is responsible for executing the Maids Management Process through the digital system — from sourcing and registering domestic workers, through vetting and matching, placement, onboarding, follow-up, performance monitoring, issue resolution and replacement.
The trainee should ensure that every maid and every client is properly managed within the system, so that the quality of the service does not depend on individual staff members remembering what to do.
Core Principle
The system and process manage the maid; the employee manages the process.
The trainee must therefore become highly proficient in using the Maids Management System and follow its workflows, records, tasks and controls consistently.
2. Main Objective
To help Lafab Solutions build and maintain a large, reliable and well-managed domestic worker network while ensuring that every client receives a trusted, suitable and properly supported maid.
The trainee should ensure that:
Find → Register → Vet → Assess → Match → Place → Onboard → Monitor → Support → Rate → Retain/Replace
is executed consistently for every domestic worker and client.
3. Key Responsibilities
A. Domestic Worker Sourcing & Registration
The trainee will help continuously build Lafab Solutions’ domestic worker database.
Responsibilities include:
- Identify potential domestic workers through approved recruitment channels.
- Receive referrals and domestic worker leads from agents and other sources.
- Contact prospective domestic workers.
- Explain Lafab Solutions’ maid placement process.
- Register domestic workers in the Maids Management System.
- Ensure every worker has a complete and accurate digital profile.
- Capture personal information, skills, experience, preferred work, location and availability.
- Record previous employment and relevant references.
- Keep worker status updated in the system.
- Follow up inactive or incomplete worker profiles.
- Identify workers who are suitable for immediate placement.
- Maintain a continuously growing pool of available domestic workers.
Important principle:
A maid who is not properly recorded in the system is not properly managed by Lafab Solutions.
4. Worker Vetting & Verification
The trainee will support the process of establishing whether a domestic worker is suitable and trustworthy before placement.
Responsibilities include:
- Ensure required worker information is collected.
- Follow the approved domestic worker vetting checklist.
- Coordinate required document verification.
- Follow up on medical checks where required.
- Follow up on criminal/background checks where applicable.
- Verify references and previous employment information.
- Identify inconsistencies or suspicious information.
- Record verification results in the system.
- Ensure outstanding verification requirements are tracked.
- Escalate concerns to the supervisor.
- Do not recommend a worker for placement when required checks are incomplete or unresolved.
The objective is to ensure that client trust is built through a controlled process rather than personal judgment alone.
5. Domestic Worker Assessment & Classification
The trainee will help understand what each maid can actually do and what type of household she is suitable for.
This includes:
- Assessing domestic work experience.
- Recording skills and competencies.
- Identifying experience with:
- General housework
- Cooking
- Childcare
- Laundry
- Cleaning
- Elderly care
- Gardening
- Household organisation
- Other relevant domestic responsibilities
- Record preferred job type.

The objective is to create a usable worker profile that supports intelligent matching, rather than simply storing a person’s name and phone number.
6. Client Requirements & Matching
The trainee will support the process of matching the right domestic worker to the right household.
Responsibilities include:
- Capture and maintain client household requirements in the system.
- Understand the client’s required duties and expectations.
- Identify required skills and experience.
- Consider location, availability and other relevant requirements.
- Search the Maids Management System for suitable candidates.
- Shortlist appropriate domestic workers.
- Present suitable candidates through the approved process.
- Avoid unsuitable or poorly matched placements.
- Record the matching and placement process in the system.
- Follow up with the client regarding shortlisted candidates.
Matching principle:
The objective is not to place the next available maid. The objective is to place the most suitable maid.
7. Placement & Onboarding
Once a client selects a maid, the trainee will ensure that the placement is properly completed and recorded.
Responsibilities include:
- Confirm placement details.
- Ensure required documentation is completed.
- Confirm worker and client expectations.
- Record the placement in the Maids Management System.
- Ensure the worker’s status changes correctly from available to placed/active.
- Ensure the client and worker have the necessary information before commencement.
- Explain basic expectations, responsibilities and communication procedures.
- Schedule the required follow-up activities in the system.
- Ensure no placement is left without a defined next action.
8. Post-Placement Monitoring
This is one of the most important responsibilities of the role.
Placement is not the end of the service. It is the beginning of Maids Management.
The trainee will:
- Follow up with the client after placement.
- Follow up with the maid.
- Confirm that the maid reported to work.
- Check whether the agreed duties are being performed.
- Identify early signs of dissatisfaction.
- Record client and worker feedback.
- Monitor issues raised by either party.
- Create or complete required follow-up tasks in the system.
- Escalate serious issues immediately.
- Track unresolved issues until they are closed.
- Maintain an accurate history of the placement.
The trainee should proactively identify problems before they become reasons for the client to request a replacement.
9. Client Service & Relationship Management
The trainee is expected to provide professional support to households using Lafab Solutions’ maid service.
Responsibilities include:
- Respond promptly to client enquiries.
- Listen carefully to client concerns.
- Record important client interactions in the system.
- Explain the appropriate process rather than making unsupported promises.
- Follow up on complaints.
- Coordinate solutions with supervisors and relevant team members.
- Maintain professional communication with clients.
- Ensure clients receive timely updates.
- Build confidence in Lafab Solutions’ managed service.
The trainee should develop the mindset that:

10. Domestic Worker Support
The Maids Management service must also protect the quality and stability of the worker relationship.
The trainee will:
- Maintain regular communication with placed workers.
- Listen to worker concerns.

- Help resolve misunderstandings between workers and households.
- Escalate serious welfare, safety or contractual issues.
- Help workers understand client expectations.
- Encourage professional behaviour and reliability.

11. Worker Performance & Rating
The trainee will help build a reliable performance history for every managed maid.
Responsibilities include:
- Collect client feedback.
- Record worker performance information.
- Update appropriate worker ratings.
- Record complaints and positive feedback.
- Identify recurring performance issues.
- Identify high-performing workers.
- Flag workers who may require additional support or coaching.
- Ensure performance information is based on recorded evidence and feedback.
- Maintain accurate worker history in the system.
Over time, the system should enable Lafab Solutions to identify:
Who are our best maids?
Which maids are reliable?
Which maids require support?
Which maids should not be placed again?
Which workers are suitable for particular types of households?
12. Replacement Management
Where a placement fails or a replacement becomes necessary, the trainee will help manage the replacement process.
Responsibilities include:
- Record the reason for replacement.
- Understand whether the issue relates to the worker, client, expectations, matching or another factor.
- Update the placement status.
- Identify suitable replacement candidates.
- Coordinate the replacement process.
- Ensure the client receives appropriate communication.
- Update the worker’s status and history.
- Record the outcome.
- Identify lessons that can improve future matching.
Every replacement should produce information that improves the Maids Management Process.
13. System Management & Data Quality
The Maids Management System is the trainee’s primary operational tool.
The trainee must:
- Use the system for all required maid management activities.
- Keep worker profiles complete and current.
- Keep client information accurate.
- Update worker availability and placement status.
- Complete assigned tasks.
- Record interactions and follow-ups.
- Update placement information.
- Maintain document and verification status.
- Record feedback and ratings.
- Monitor pending actions.
- Avoid keeping important operational information only in personal notebooks, phones or WhatsApp conversations.
- Ensure information entered into the system is accurate and timely.

14. Task & Workflow Management
The trainee will work through tasks generated by the Maids Management Process.
These may include:
- Contacting a new maid.
- Completing a worker profile.
- Following up on missing documents.
- Completing verification.
- Calling a client.
- Following up after placement.
- Checking worker performance.
- Resolving a complaint.
- Updating a worker’s availability.
- Following up on a replacement.
- Collecting client ratings.

The trainee should not wait for workers to come to the company.

- Other approved recruitment channels.
The trainee should identify which sourcing channels produce the best workers, not merely which channels produce the largest number of applicants.

A typical day should follow a structured operating rhythm:

- Review system dashboard and pending tasks.
- Review new maid registrations.
- Check clients requiring follow-up.
- Check active placements requiring monitoring.
- Review unresolved complaints or issues.
- Prioritise urgent tasks.
During the Day
- Contact and register new workers.
- Complete worker profiles.
- Conduct/follow up on vetting.
- Match workers to client requirements.
- Support placements.
