Job Overview
Reporting to the Senior Manager Program Quality and Grants, the Grants Coordination and Reporting Manager will be the focal point in liaising with the Implementation, VENN, Partnerships Planning and Expansion, and the Applied Learning teams to collect essential information and data analytics for Grant Coordination and Reporting (both restricted and unrestricted projects). The Manager will also ensure rigorous grant compliance and effectively coordinate all RTV implementation programs and support any donor requests, with respect to reporting and proposal development.
The Grants Compliance and Reporting Manager should be passionate about community development,
data-informed impact reporting, and compiling technical program information and meaningful narratives for various stakeholders. This role requires coordination, initiative taking, independent problem solving, and attention to detail to review and organize ready-to-use data for external reporting and ensure grant compliance, particularly for restricted funding projects. Essential to the success of this role is managing shifting priorities and collaborating with multiple stakeholders in varying time zones. This individual will play a pivotal role in coordinating data collection from relevant teams translating into reporting narratives for various stakeholders, as well as identify and validate data gaps and escalate the same for resolution and clarification, as needed.

Responsibilities.
Grant Compliance and Reporting
• Design and lead the implementation of a clear grant management framework for all RTV grants and projects (RTV Normal and restricted); ensuring the frame work is understood, respected and adhered to by all implementation and support function team members.
• Lead the coordination, drafting, editing, and submission of high-quality reports— including monthly, quarterly, annual, and final deliverables—for both restricted and unrestricted grants, ensuring alignment with RTV’s standards and donor requirements in terms of content, accuracy, structure, and timelines.
• Establish and manage a centralized reporting calendar, ensuring all internal and donor deadlines are met and that appropriate teams are engaged in the reporting process.
• Collaborate with Implementation, MEAL, Finance, and other cross-functional teams to compile and validate narrative content, programmatic indicators, and financial summaries required for grant reports.
• Proactively review all reports for internal coherence, data consistency, and compliance with donor contractual obligations.
• Follow up with relevant teams to address content gaps, data discrepancies, and unresolved questions.
• Work with the Grants and Quality team to establish and strengthen processes for monitoring and flagging grant compliance issues, supporting grant implementation tracking and continuous quality improvement.
• Serve as a knowledge resource to RTV staff on donor-specific reporting formats, terminology, and compliance expectations.
• Provide ongoing guidance during grant startup, implementation, and close-out phases.
Knowledge Mobilization and Process Development
• Engage directly with program and technical staff to gather project information, success stories, lessons learned, and innovations from the implementation teams, translating them into engaging and evidence-based narratives for internal and external audiences.
• Contribute to the creation of internal knowledge products including learning briefs, thematic summaries, and synthesis documents that support cross-learning and knowledge retention across districts and regions.
• Collaborate with the VENN team to integrate outcome and Impact level data, analysis, and visualizations into reporting products, ensuring reports reflect both quantitative and qualitative impact.
• Contribute to ongoing refinement of RTV’s reporting systems, templates, and tools to enhance quality, usability, and institutional learning.
• Support the capacity strengthening of field teams and program staff by facilitating training or coaching sessions on effective documentation, narrative development, and results-based reporting practices.
Internal Collaboration and External Representation
• Act as the focal point for all grant-related reporting inquiries and requests across the organization, ensuring clear communication and accountability with all contributing departments.
• Support the preparation of pitch decks, donor briefs, and other communication materials that present RTV’s program models, evidence of impact, and strategic priorities.
• Maintain close collaboration with the Partnership Development and Fundraising teams to align proposal language with donor expectations and ensure that reporting insights are looped back into future grant design.
• Assist in the development of proposal templates, guidance notes, and writing resources that improve consistency and quality across all fundraising documentation.
• Where required, participate in donor check-ins, learning sessions, or reporting related engagements to ensure alignment and effective representation of RTV’s work.
• Ensure that all final reports and deliverables adhere to RTV’s visual identity and style guide, incorporating approved templates, graphics, and branding elements.
Other
• Support and train staff in collecting and coordinating reporting information for donor reports and proposals.
• Build and supervise a team, as approved, to support the growing reporting needs of the organization.
• Any other responsibilities as assigned
Required Qualifications
Technical and Interpersonal Skills
• Demonstrated experience synthesizing programmatic data and results into high- quality written documents for internal purposes, donors and external stakeholders.
• Strong editorial and copy-editing skills, with an ability to translate complex technical content into accessible narrative.
• Excellent coordination and time management skills, with the ability to manage competing priorities and deadlines.
• High proficiency in Microsoft Office, particularly Word and PowerPoint.
• Familiarity with data visualization tools is an asset.
• Ability to problem solve and work with minimal supervision.
• Experience working in Last Mile holistic programs.
• Passion for community development in last-mile communities.
• Strong training & facilitation skills Demonstrated willingness to be flexible and adaptable to changing priorities and to keep a positive attitude in a fast-paced and challenging environment.
• Fluency in English required; working knowledge of other local languages is an added advantage.
Education and Experience
• Bachelor’s degree in international development, communications, journalism, research, or related field.
• At least 5 years of professional experience in report writing, program documentation, or communications within an international development or NGO context.
