About the Role
YSAT is seeking an Office Administrative Assistant to manage daily administrative, front-desk, logistics, and HR support routines that keep the Kiryandongo office functioning seamlessly. This role serves as the structural backbone of the office, coordinating logistics, managing office stock, and ensuring a well-organised workplace.
Key Responsibilities
- Manage incoming and outgoing correspondences, telephone inquiries, and office files; greet and assist visitors and institutional partners
- Coordinate staff travel, field vehicle routing, and accommodation booking; assist with local field purchases, sourcing quotes, and maintaining inventory and asset registers
- Support tracking of field staff attendance, leave applications, and timesheets; maintain secure personnel files for the Kiryandongo team
- Handle venue bookings, catering, stationary provisions, and participant registration during teacher trainings and stakeholder workshops
- Provide day-to-day oversight, scheduling, and guidance to the office security guard and cleaner
Requirements
- Bachelor's Degree or Diploma in Secretarial Studies, Office Management, Human Resource Management, or Business Administration
- Minimum 2–3 years of administrative experience within a fast-paced NGO field environment
- Highly organised with exceptional interpersonal communication skills and proficiency across the MS Office suite (Word, Excel, PowerPoint)
- Demonstrated problem-solving skills, creativity, and willingness to innovate
- Upholds and demonstrates YSAT's values and behaviours
