Responsibilities or duties

  • Assist in drafting, editing, and formatting funding proposals, concept notes, and related documents.
  • Support the preparation and drafting of donor communications (e.g., updates, briefing notes, meeting follow-ups, information packages).
  • Contribute to donor reporting processes by supporting data collection, drafting sections, and reviewing for consistency and quality.
  • Assist in organizing and providing logistical support for proposal development and project inception workshops with partner organisations, and donor-related events.
  • Provide background research and prepare donor briefs, profiles, and intelligence notes to support donor engagement.
  • Maintain and update databases and filing systems related to funding proposals, opportunities, and donor engagement.
  • Support the setup of newly approved projects in internal systems, ensuring compliance with WHH procedures.
  • Track deadlines, donor requirements, and internal processes to ensure timely delivery of outputs.
  • Provide administrative and coordination support to donor engagement activities, including meetings, visits, and missions.
  • Contribute to knowledge management by maintaining templates, tools, and lessons learned for business development and donor relations.
  • Carry out other support tasks as assigned by the Head of Business Development, Donor Engagement & Partnerships, and the Head of Programmes as relevant.

Qualifications or requirements 

  • University degree in International Development, Business Administration, Communications, or a related field.
  • Strong organizational and administrative skills, with the ability to manage multiple tasks under tight deadlines.
  • Excellent written and verbal communication skills in English; knowledge of German is an asset.
  • Proficiency in MS Office; experience with databases, CRM, or project management systems is desirable.
  • Great team player with enthusiasm and a willingness to learn and work collaboratively in a diverse team and across departments.
  • Willingness and ability to travel when required.

Experience needed

  • At least 2–3 years of professional experience in a support role related to donor relations, proposal writing, or project administration, preferably in the NGO or international development sector.
  • Experience drafting written communication for external stakeholders and supporting donor reporting.
  • Knowledge of donor landscapes (bilateral, multilateral, institutional, foundations, private sector) is an advantage.
