About IIDC
Impact and Innovations Development Centre (IIDC) is a not-for-profit regional Technical Assistance (TA) and Learning partner organisation that works with development agencies in the public and private sectors to promote impactful and innovative programming. IIDC builds capacities and facilitates learnings to enhance the efficacy of development programming in Africa to achieve sustainable and equitable development outcomes for all.
Background
IIDC has recently developed an automated stores management system to streamline inventory management processes. To operationalize this system, IIDC seeks a shortterm Technical Associate to support the rollout of the system.
Purpose of the Assignment
The purpose of this assignment is to ensure that the automated stores management system becomes fully operational, with all inventory data accurately captured and stored to support management decisions.
Specific Tasks
- Conduct a full system test run to confirm functionality and identify technical or user challenges.
- Work with the system developer to implement agreed adjustments.
- Review and upload all existing IIDC inventory into the system.
- Organize and label storage shelves and items to align with the categories in the automated system, ensuring easy identification, tracking, and retrieval of inventory.
- Generate system reports (e.g., stock movement, balances, and utilisation summaries)
- Develop a brief user friendly guide for key staff and conduct a brief user orientation
- Maintain data accuracy and confidentiality during the assignment
- Prepare a final report summarizing relevant aspects of the assignment
Deliverables
- Report highlighting system performance, gaps, and recommendations.
- Documented log of changes or fixes made and fixed
- Verified and up to date digital inventory database uploaded
- Physical store area organized and labelled in line with the automated system structure for easier navigation and accountability
- A simple user manual shared with the Administration and Finance teams and an orientation session conducted
- Fully operational and populated automated stores management system.
- Inventory reports generated from the system.
- Final assignment report submitted and approved
Required Qualifications and Experience
- A diploma or bachelors degree in Bachelor's degree in Logistics and Supply Chain Management, Business Administration and a Bachelor in Procurement or any related field
- At least 3 years of demonstrated experience in stores or inventory management, preferably in an automated or system-based environment
- Good understanding of database or inventory tracking software
Other attributes
- Excellent communicator, both verbally and in writing
- Attention to details
Duration and Reporting
- The assignment is expected to take approximately 4 weeks
- The Associate will report directly to the Administrator and work closely with the system developer and the Finance and Administration team.
