1. Job Purpose:
The Administrative Assistant provides comprehensive administrative and clerical support to the cluster office. The role ensures the smooth operation of the office by managing communications, maintaining records, organizing logistics, and supporting the team with general administrative tasks.
2. Key Responsibilities:
Office Management:
- Manage office supplies and stationery inventory.
- Ensure the cleanliness and maintenance of the office premises.
- Sort and distribute incoming mail and manage outgoing correspondence.
Reception & Communication:
- Manage the front desk, answering phone calls and welcoming visitors.
- Maintain an up-to-date contact directory.
Records & Filing:
- Maintain an organized filing system (both physical and electronic) for project documents.
- Ensure confidentiality and security of all administrative files.
Logistics Support:
- Assist in making travel arrangements for staff (booking flights, accommodation).
- Support the organization of meetings and events (room setup, catering, taking minutes).
Financial Support:
- Assist in processing payment requests and travel advances.
- Support the preparation of basic financial paperwork (e.g., petty cash).
3. Qualifications & Experience:
Education: Bachelor’s degree in Business Administration, Management, or a related field.
Experience: Minimum 2-3 years of experience in an administrative or secretarial role.
Skills: Excellent organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential. Strong written and verbal communication skills.
Languages: Fluency in English and [Local Language] is required.
