Consultancy Opportunity
MSF is looking to recruit a suitable consultant to provide support to the mission by assisting the Head of Mission in the administrative part of coordination tasks, contributing to the context analysis and help prepare an overall overview by centralizing various information flows in the mission and that all relevant team members have an easy access.
Reports to: Head of Mission
Duty Station: Kampala
Contract Duration: 3 months

Main responsibilities include, but not limited to:
• Assist the HoM in the context analysis, disseminate relevant context information to the coordination team, regularly inform them on key issues, update general information on the context for MSF internal documents, and advise on cultural appropriateness of organisational activities and individual behaviours
• Keep good knowledge of counterparts in different administrations and file field contacts (other NGO's, UN agencies, local authorities...) verifying that they are easily accessible in order to facilitate contacts and meetings.
• Support Head of Mission and the Coordination Management Team (CMT) on consolidating all the relevant, key and strategic information and plans already produced during the CMT, Monthly All staff meetings, Planetary Health specific initiatives, Regional meetings. Explore and use the automation of tasks where possible.
• Support the IT officer and HOM on maintaining up to date all the Kompass information like the specific dossiers, policy and SOP documents.
• Attend CMT weekly meetings, Monthly Staff meetings and any other strategic meeting to assure minutes are taken and action points are clear and disseminated amongst the relevant coordinators for actions/follow-up
• Implement a system to collate (use automation where possible) and consolidate monthly departmental reports, on a single file for stakeholders distribution and proper upload in Kompass and SharePoint.
• In consultation with the HOM and CMT, produce an institutional memory document (IMD) for SUKA based on its historical timelines.
• Daily monitoring of relevant local, national and regional news, on newspaper and social media, to then summarize in a daily brief document for CMT.
• Participation in MSF transversal activities: Associative Activities, Planetary Health and Diversity, Equity and Inclusion (DEI) initiatives, where possible contribute actively to the Planetary Health initiatives of the workshop.
• Feel obliged to propose new ideas and thoughts related to supply chain with the direct supervisor, but understand that MSF already has a standard system of work, so implementation of new ideas may have to go through a process.

Experiences, Skills and Competencies Required:
Education: Degree Bachelor of Library and Information Sciences
Experience: Previous experience in humanitarian aid, preferably with MSF. Essential, very good understanding of the functioning of the different administrations on the local country (critical).
Languages: English, Local languages and French is a strong asset
Knowledge: Excellent knowledge of MS Office (Teams, Word, Excel, PowerPoint)
Competencies: Strong interpersonal skills, strong initiative, able to handle complex assignment with proactive attitude. Team player with strong analytical skills, attention to details (precise), flexible and able to work in a demanding and challenging work environment.
