Position Overview

The Facilities & Services Manager is responsible for the strategic and operational management of all non-clinical support services to ensure a safe, efficient, compliant, and well-maintained working environment. The role oversees facilities operations, outsourced and in-house service teams, budgets, compliance, and continuous service improvement in line with organizational standards and regulatory requirements.

Key Responsibilities

Facilities & Operations Management

  • Plan, coordinate, and oversee daily operations of all facilities and support services on a 24-hour basis.
  • Ensure optimal functionality, cleanliness, safety, and aesthetic standards across all premises.
  • Supervise facility maintenance, utilities, renovations, and minor construction works, ensuring timely resolution of issues.
  • Maintain accurate asset registers and ensure proper use and care of facilities and equipment.

Service Management

  • Oversee housekeeping, cleaning, laundry, catering, security, waste management, and grounds services.
  • Develop, implement, and monitor Service Level Agreements (SLAs) with internal teams and external service providers.
  • Ensure consistent service delivery, quality control, and customer satisfaction.

People & Performance Management

  • Lead recruitment, induction, training, scheduling, supervision, and performance appraisal of facilities and services staff.
  • Foster a culture of accountability, professionalism, teamwork, and continuous improvement.
  • Identify skills gaps and coordinate capacity-building initiatives.

Financial & Resource Management

  • Develop and manage departmental budgets, ensuring cost efficiency and value for money.
  • Monitor expenditure, analyze variances, and prepare operational and financial reports.
  • Support procurement processes and vendor evaluation in line with institutional policies.

Compliance, Health & Safety

  • Ensure full compliance with all statutory, regulatory, environmental, health, and safety requirements.
  • Implement and monitor occupational health and safety policies, risk assessments, and emergency preparedness plans.
  • Lead incident reporting, investigations, and corrective action implementation.

Planning, Reporting & Continuous Improvement

  • Prepare and submit timely monthly, quarterly, and annual operational reports.
  • Participate in audits, inspections, and quality assurance activities.
  • Drive process improvements, sustainability initiatives, and adoption of best practices.

Qualifications & Experience

  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, Operations Management, or a related field.
  • A Master’s degree is an added advantage.
  • Minimum of 5 years’ relevant experience in facilities and services management within a large organization.
  • Experience managing multi-disciplinary teams and outsourced service providers.

  • Excellent planning, organizational, and problem-solving abilities.
  • Sound knowledge of health, safety, and regulatory compliance.
  • Financial acumen with experience in budgeting and cost control.
