In cooperation with local partner organizations, AWO International is committed to supporting marginalized and disadvantaged groups of society to sustainably improve their living conditions. For our operations in East Africa, we are looking for a Logistics and Administrative Assistant
The task of the Logistics and Administrative Assistant is to support AWO International and its implementing Partner Organisations to successfully run projects in various districts of Uganda (including refugee settlements) by ensuring safe and timely transportation of office staff, visitors, and goods as well as offering support in the daily running of the office, with a perspective to extend AWO International’s development cooperation portfolio in Uganda and the East African Region. The workplace is AWO International’s Office Bukasa-Muyenga, Kampala, Uganda with regular travels to project districts.
Key Responsibilities:
As Logistics Assistant (~50%):
- Serve as the office driver for official staff travel within Kampala and frequent travels to project areas in Uganda and East Africa, prepare vehicle reports incl. fuel accountability, maintain up-to-date logbooks, conduct safety checks, ensure compliance
- Monitor and maintain the vehicle and motorcycle condition including early identification of any repair needs, handle minor repairs on his/her own and obtaining support by service providers in coordination with Finance team
- Helps build capacity of the drivers and riders of the Partner Organisations
- Provide effective and timely logistics support
As Administrative Assistant (~50%):
- Maintenance of the AWO International office ensuring functioning of essential infrastructure and a safe and clean working environment in coordination with service providers
- First contact point to visitors
- Managing the office store
- Supporting procurement procedures in coordination with the Finance team
- Support to the team during workshops at hotels or at the office
- Contribution to Public Relations, supporting photo and document management
Requirements:
- Required: UACE (minimum), Driving class: D1; Experience in driving manual cars, long distance travels, difficult terrain i.e. 4WD. Driving class A for motorcycle
- Added advantages: trained in defensive driving, trained in administering first aid
- Diploma plus 2 years work experience, or Secondary School Certificate plus 5 years work experience
- At least moderate competences in using MS Office, Share Point, Google Drive and other software and ability to apply logistics tools e.g. trackers
- Availability for frequent travels and duty missions across Uganda and in the East-African region as well as for emergency deployments for up to sixteen weeks.
- Sharp time management skills. Impeccable finance ethics with a strong compliance attitude.
- Good English skills in reading and writing
