Description
The Office Assistant will directly interact with Action Against Hunger staff and visitors, and is responsible for overall hygiene & sanitation within and around the office premises, ensuring an environment that is fit and comfortable to work. S/he will prepare teas and meals in a hygienic space and manner, clean utensils, dust and mop the floors, ensure proper garbage disposal, sanitize and disinfect surfaces, monitor and ensure adequate stock of all basic office supplies like detergents, brooms, scrubbing brushes, rubber squeezers, sugar, coffee and tea leaves at all times.
The Office Assistant will also receive and direct visitors around the office premises, coordinate events such as rooms, refreshments and/or meals for meetings, trainings as instructed. S/he will also run errands for office as instructed, monitor and report damage to office premises/areas and equipment, and coordinate and monitor maintenance and repairs.
Key Duties & Responsibilities
• Clean and mop the office premises including Kitchen, windows and Tables, making sure they are tidy at all times.
• Prepare teas and ensure that the flasks are filled at all times.
• Ensure adequate stock of office utilities such as Soap, hygienic products like detergents, sugar, coffee and tea leaves to the logistics department.
• Make sure that the flasks, cups, plates cutlery are clean at all times
• Receive and direct visitors.
• Check and refill supplies in all areas, including office supplies and articles in the washrooms.
• Set up and prepare the conference rooms as instructed, provides services at meetings, e.g. serves coffee and tea for guests and visitors.
• Report if stocks, e.g. of beverages are low, and need to be replaced.
• Run errands, e.g. buys lunch on request for office staff if and when required reports damage to office areas and equipment, and organizes and monitors maintenance and repair.
Requirements
• Ordinary Level Certificate in Education
• A minimum of 1 year relevant work experience in a busy environment, preferably a NGO
• Ability to read and write in English with good communication skills
• Tidy, organized, flexible, a good team player and self-starter able to work under minimum supervision
• Knowledge of at least one of the local languages of N'gakaramojong is an added advantage
• Commitment to Action Against Hunger USA, Uganda mission, values and policy
• Should preferably be a resident or originate from within the project implementation area
