The Administration Supervisor will report to the Administration Manager and will be based at Head office. He/she is responsible for overseeing day-to-day administrative operations, ensuring efficient office management, and managing the organization’s estates and facilities. The role provides leadership to the Administration Officer, Stores Officer, and Front Desk Executive, ensuring high standards of service delivery, proper resource management, and optimal functioning of administrative and estate-related activities within Pride network
Specific responsibilities include: -
1. Administration Management
- Oversee and coordinate general administrative duties to ensure smooth office operations.
- Develop, implement, and improve administrative systems, policies, and procedures.
- Supervise the Administration Officer to ensure timely completion of administrative tasks.
- Manage office supplies, utilities, maintenance requests, and service provider relationships.
- Coordinate company events, meetings, and travel logistics.
2. Estates & Facilities Management
- Manage and maintain company estates, ensuring safe, clean, and functional facilities.
- Coordinate maintenance, repairs, and servicing of buildings, equipment, and utilities.
- Conduct regular inspections of physical infrastructure and recommend improvements.
- Liaise with contractors and vendors for facility-related projects and maintenance.
3. Stores & Inventory Oversight
- Supervise the Stores Officer in managing stock levels, receiving goods, and issuing supplies.
- Ensure accurate inventory records, stocktaking, and compliance with procurement procedures.
- Implement controls to minimize wastage, loss, and mismanagement of organizational assets.
4. Front Desk and Customer Service Supervision
- Oversee the Front Desk Executive to ensure professional reception, communication, and visitor management.
- Ensure effective handling of incoming calls, correspondence, and inquiries.
- Maintain a welcoming and organized front desk environment.
5. Staff Supervision & Team Leadership
- Provide leadership, coaching, and performance management to direct reports.
- Set clear work objectives, review performance, and support employee development.
- Ensure teamwork, discipline, and adherence to organizational standards.
6. Reporting & Documentation
- Prepare regular reports on administrative activities, estate maintenance, and inventory status.
- Maintain proper records of service contracts, leases, repairs, and administrative documentation.
- Support budgeting and cost control for administration and estates functions.
Minimum Academic qualifications, Experience & competence: -
- Bachelor’s degree in Civil / Mechanical / Electrical / Architecture / Construction Management, Facilities Management, Estate Management, or a related field.
- 2–3 years of experience in administration, facilities / estates management, or a supervisory role.
- Strong leadership and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office.
- Knowledge of facility maintenance, vendor management, and inventory control is an advantage.
