Position: Administrative And Business Development Executive (1):
Reports to: Secretary General
The Administrative and Business Development Executive shall work under the direction of the Secretary General to provide day-to-day administrative assistance to the society’s board and secretariat and members. S/he will help with a variety of administrative, coordination, logistical and information management functions of Uganda Marketers Society.
Duties and Responsibilities:
Member Support:
- Assist generally in the member’s needs related to the society
- Maintain members CRM database, updating member records and on boarding new members
- Assists in the orientation of new members and society representatives by providing them with the necessary documents and materials for orientation.
- Works hand in hand with Director Membership
Administration Support:
- Provide friendly and timely response to incoming communications (telephone calls, letters, email etc.) and ensuring they reliably passed on to the appropriate society representatives.
- Support society related utility management and reporting including but not limited to subscriptions (email, internet), office supplies, and other machinery services and other logistical requirements.
- Contribute to maintenance and regular updates of the society’s asset listings.
- Assist in preparing procurement plans, requisitions, and updates on receipt of goods and services.
- Works with other society personnel and representatives to coordinate work activities, meet deadlines, and provide support where needed.
Events Management:
- Support administrative arrangements and follow up logistical arrangements related to bookings for conferences, venue, accommodation, and other logistical supplies for events.
- Coordinate society team meetings (virtual and face to face) including preparation and distribution of minutes of meetings, summary notes and other documentation
- Support society representatives to follow up logistical arrangements, bookings for conferences, venue, accommodation, and other logistical supplies for events.
Administrative information:
- Compile, organize, regularly update, and maintain an active and accessible society information database using designated platforms.
- Support in arranging team appointments and maintaining mailing lists, directory, activity calendar and facilitate follow up on deadlines.
- Create and maintain an efficient e-filing system for the society with up-to-date files and references (electronic and hard copy) of correspondence/documents and copies of the project records for the various society work streams.
- Provide secretarial support for formatting and editing various program documents, such as work plans, budgets, briefing materials, presentations, and reports.
- Support dissemination of society specific communication materials such as policies, templates, plans, budgets, and reports.
Business Development:
- Assist in identifying and researching potential new clients and business opportunities.
- Support the development and maintenance of client relationships.
- Participate in the preparation of presentations, proposals, and sales contracts.
- Conduct market research to stay updated on industry trends.
- Contribute to the development and implementation of business development strategies.
- Support the business development team with administrative tasks and project coordination.
Qualifications:
- University degree in Business related studies, Secretarial Studies, or other related area of study
- At least 1-2 years relevant work experiences, with administrative tasks
- Proficient with computer technology and Microsoft Office applications including Microsoft Word, Excel, Power-point, Outlook.
- Strong oral and written communication skills
- Strong organizational, interpersonal skills
- Work experience in Marketing or Communications is an advantage.
- Student members of UMS are encouraged to apply
- Demonstrated ability to work in teams, solve problems, prioritize workloads, meet deadlines, and work well under pressure is highly desired.
- Fluency in English is required
- Must be able to work independently while being a strong team player.
