Background

The HR Graduate Trainee will support the Human Resources team in delivering core HR services for the East African Crude Oil Pipeline (EACOP) project. The trainee will gain practical exposure to recruitment and onboarding, employee records and HR administration, payroll and benefits support, learning and development, employee relations, performance management, HR reporting among others. The trainee will participate in HR activities that support the safe, compliant and efficient management of the project workforce while developing technical and professional competencies.

Key Responsibilities:

  • Assist in recruitment activities, including drafting job adverts, screening applications, scheduling interviews and coordinating with hiring managers.
  • Support onboarding and induction of new employees, and offboarding processes including exit documentation and clearance.
  • Maintain accurate employee records, personnel files and HR data in the HR information system, ensuring confidentiality and data accuracy.
  • Assist in payroll and benefits administration by preparing and verifying inputs such as leave, allowances, statutory deductions and contract changes.
  • Support the preparation and administration of employment contracts, letters and other HR documentation in line with company policy and applicable Ugandan labour laws.
  • Assist in coordinating training and development activities, including training needs tracking, logistics, attendance records and evaluation.
  • Support performance management cycles, employee engagement initiatives and the handling of routine employee queries and relations matters.
  • Prepare HR reports, dashboards and analysis, such as headcount, turnover, leave and recruitment metrics.
  • Support compliance with company HR policies, HSE standards, statutory requirements and audit requests, and participate in HR site visits and contractor workforce checks as assigned.
  • Undertake structured learning and development activities as part of the graduate trainee program, and contribute to continuous improvement of HR processes.

Qualifications:

  • Bachelor’s degree in Human Resource Management, Business Administration, Social Sciences, Psychology, Public Administration or a related field from a recognized University.
  • Minimum academic performance requirement of a Second Class Upper Division or above.
  • Graduation within last 1–2 years.
  • Basic knowledge of HR functions and of Ugandan employment and labour laws, including the Employment Act.
  • Proficiency in Microsoft Office (especially Excel, Word and PowerPoint); familiarity with HR information systems is an added advantage.
  • Strong analytical and problem-solving skills, with good attention to detail and accuracy.
  • Excellent communication and interpersonal skills; ability to work independently and as part of a multidisciplinary team.
  • Postgraduate diploma or short course in Human Resource Management may be an added advantage.
