ABOUT MEDX
MedX International is a Kampala-based digital health technology company. We build the device connectivity, laboratory information systems, electronic medical records, and diagnostics that hospitals and labs across East and Southern Africa run on every day. As we scale, we need a finance owner who can keep our books accurate, compliant, and audit-ready.
THE ROLE
This is a full-ownership role, not a support seat. You'll run the accounting docket independently: keep the books clean and current, run month-end, hold the line on financial controls, and be the person the founders rely on for a true picture of the numbers. You'll work across commercial revenue and donor-funded grants, so fund accounting discipline matters.
WHAT YOU'LL OWN
- Maintain QuickBooks Online on our Chart of Accounts with correct class/location tagging, posting all transactions within 5 working days.
- Run monthly bank, mobile money, and balance sheet reconciliations, with zero unreconciled items older than 30 days.
- Prepare the monthly close pack: P&L by product line, cash position, AR/AP ageing, and grant vs commercial split, within 5 working days of month-end.
- Maintain a rolling 13-week cash-flow forecast and flag runway risks weekly.
- Issue customer invoices within 48 hours of a contract or milestone, chase receivables, and report Days Sales Outstanding weekly.
- Enforce the Approval Matrix: confirm an approved budget and the correct authorisation tier before any expense is committed.
- Own grant and donor finance: per-award budget tracking, fund separation, and compliant supporting documentation.
- Handle statutory compliance: URA filings (PAYE, VAT including reverse-charge VAT on imported digital services, WHT including on cross-border payments), NSSF, and annual returns.
- Process payroll, maintain the fixed-asset register and mobile-money controls, and enforce the expense policy.
- Prepare clean audit files and support external audits.
WHAT WE'RE LOOKING FOR
- Bachelor's degree in Accounting, Finance, or a related field.
- CPA(U) level.
- 3 to 4 years' accounting experience, with at least 2 years in a donor-funded, NGO, or health-sector environment carrying grant accounting responsibility.
- Hands-on QuickBooks Online expertise, including Chart of Accounts and class/location tracking.
- Advanced Excel or Google Sheets, with real experience preparing audit files and URA filings.
- Deadline-reliable and disciplined on documentation. Comfortable enforcing a control even when a colleague or manager pushes back, and honest about what to escalate. This role is a control point for our anti-bribery and expense-integrity standards.
