Finnish Refugee Council (FRC) is an INGO promoting adult education and community development among refugees since 1997 as an operational partner to UNHCR and OPM and since 2020 implementing partner to WFP. FRC is seeking for suitably qualified Ugandans to fill the following.

Position: Accounts Assistant
Attached to: Self-Reliance Model Project
Contract duration: August to end of December 2026 with possible renewal
Location: 1 position based in Kampala

Job purpose:
The Accounts Assistant will support the Project Accountant and Project Team in maintaining accurate financial records, preparing financial documents, and ensuring compliance with FRC and donor financial policies and procedures. The role involves processing transactions, managing petty cash, reconciling accounts, and assisting in the preparation of financial reports.

The position requires strong attention to detail, integrity, confidentiality, and the ability to work effectively within a multi-cultural humanitarian environment.

Key Tasks and Responsibilities

Financial Management and Accounting

  • Support the Project Accountant in maintaining accurate and up-to-date financial records for all project transactions.
  • Record financial data in the accounting system in line with FRC procedures and donor regulations.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.
  • Prepare and process payment vouchers, ensuring all necessary supporting documentation is attached and properly authorized.
  • Maintain and monitor the petty cash float, ensuring proper controls and timely replenishments.

Budgeting and Expenditure Tracking

  • Support the preparation of project budgets and forecasts.
  • Monitor daily expenditures and report any variances to the Project Accountant or Finance Officer.
  • Assist in tracking project budget lines and expenditure commitments to ensure compliance with donor and internal requirements.

Compliance and Documentation

  • Ensure all financial documents are properly filed, labelled, and archived according to FRC financial guidelines.
  • Support internal and external audit processes by providing required financial documentation and reconciliations.
  • Adhere strictly to FRC’s financial and procurement policies, including accountability and anti-fraud measures.

Coordination and Support

  • Provide administrative and logistical support to the project team as needed.
  • Liaise with suppliers, service providers, and field offices to ensure timely and accurate financial processing.
  • Participate in financial capacity-building sessions and trainings organized by FRC.
  • Perform other related duties as assigned by the Project Accountant or Finance Officer.

Education and Qualifications:

  • Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Computer literacy in MS Office (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, Tally, or similar).

Experience:

  • At least 2 years of relevant experience in accounting, financial management, or administration, preferably with an NGO or donor-funded project.

Essential Skills and Attributes:

  • High level of accuracy, attention to detail, and organizational skills.
  • Strong knowledge of bookkeeping and accounting procedures.
  • Integrity, confidentiality, and ability to meet strict deadlines.
  • Fluency in English (spoken and written).
  • Experience working in humanitarian or community development projects.
  • Familiarity with FRC or donor financial procedures (e.g., UNHCR, WFP, EU, or similar).
