PAGE 1 — ROLE & WORKFORCE OPERATIONS
1. Role Purpose
The Casual Workers Management Trainee supports Lafab Solutions in sourcing, preparing, deploying and continuously managing casual, temporary and seasonal workers for client assignments.
The trainee uses the Casual Workers Management System to execute the complete worker management process:
Source → Register → Vet → Onboard → Schedule → Deploy → Attend → Supervise → Monitor → Pay → Rate → Retain/Exit
The role is not simply to find workers when a client requests them. It is to maintain a ready, organised and reliable workforce that can be deployed and managed through a defined process.
Core principle: The system manages the workforce process; the trainee manages the process through the system.
2. Key Responsibilities
A. Worker Sourcing & Registration
- Continuously source casual workers through approved recruitment channels, referrals, agents and community networks.
- Source workers for agriculture, construction, manufacturing, retail, transportation, hospitality, administration, cleaning and other assignments.
- Contact prospective workers and explain available assignments.
- Register workers in the Casual Workers Management System.
- Capture personal information, skills, experience, location and availability.
- Keep worker status and availability current.
- Build and maintain an active pool of deployment-ready workers.
B. Vetting & Onboarding
- Follow the approved worker vetting and onboarding process.
- Collect required information and documents.
- Verify information where required.
- Identify workers who do not meet assignment requirements.
- Explain duties, reporting times, conduct and workplace expectations.
- Record onboarding and verification status in the system.
- Ensure outstanding requirements are followed up before deployment.
C. Client Requirements & Matching
- Capture client assignment requirements in the system.
- Understand the number of workers, skills, location, dates, shifts and working conditions required.
- Identify suitable workers based on skills, availability and location.
- Prepare worker lists and schedules.
- Confirm worker availability before deployment.
- Arrange approved replacements where workers become unavailable.
Objective:
> The right number of suitable workers, at the right place, at the right time.
D. Deployment Management
- Confirm workers scheduled for each assignment.
- Communicate reporting instructions and assignment details.
- Monitor whether workers report as scheduled.
- Record deployment information.
- Identify no-shows, late arrivals and cancellations.
- Coordinate replacements where necessary.
- Keep deployment schedules updated.
- Maintain communication with clients and site supervisors.
E. Attendance & Supervision
- Ensure attendance is captured through the approved system/process.
- Monitor daily attendance and identify discrepancies.
- Follow up on absent or late workers.
- Coordinate with client/site supervisors.
- Ensure attendance records are complete and accurate.
- Receive and record supervisor feedback.
- Respect system controls, including fields designated for supervisor-only editing.
F. Worker Performance & Issues
- Collect supervisor/client feedback.
- Record worker performance and ratings.
- Identify reliable and high-performing workers.
- Identify workers who repeatedly fail to meet expectations.
- Record complaints, incidents and positive feedback.
- Escalate serious performance, safety or conduct issues.
- Ensure unresolved issues remain visible until closed.

3. Worker & Client Support
The trainee maintains professional communication with both workers and clients.
Responsibilities include:
- Confirm worker availability and assignment details.
- Remind workers about reporting requirements.
- Respond to routine worker and client enquiries.
- Receive and record feedback.
- Help resolve operational problems.
- Coordinate with supervisors and management.
- Escalate disputes, safety concerns and serious incidents.
- Maintain appropriate communication records in the system.
4. Payroll & Work Records
The trainee supports accurate worker payment information by ensuring that operational records are complete.
- Maintain accurate assignment and attendance records.
- Check scheduled work against actual attendance.
- Identify discrepancies and obtain appropriate clarification.
- Submit approved work records for payment processing.
- Follow up on missing information or approvals.
- Refer payment queries through the approved process.
- Never make unsupported changes to attendance or payment records.
Attendance is both a workforce-management record and a payment-control record.
5. Worker Exit & Retention
When an assignment ends, the trainee will:
- Record assignment completion or exit.
- Update the worker’s status.
- Record relevant client/supervisor feedback.
- Capture reasons for exit where applicable.
- Complete required exit procedures.
- Ensure outstanding matters are referred appropriately.
- Return suitable workers to the active workforce pool for future assignments.
A worker completing one assignment should remain available for future work where appropriate.
6. Casual Workers Management System
The system is the trainee’s primary operational tool.
The trainee must:
- Maintain accurate worker profiles and statuses.
- Manage assignments, schedules and deployment information.
- Record attendance and operational information.
- Complete assigned tasks.
- Record incidents, feedback and worker ratings.
- Track onboarding and exit requirements.
- Monitor pending and overdue actions.
- Keep information updated after important activities.
- Avoid relying on personal notebooks or WhatsApp as the primary record.
If workforce activity is not properly recorded, Lafab Solutions cannot reliably manage, measure or pay for that activity.
7. Daily Operating Routine
Morning
- Review system dashboard and pending tasks.
- Review workers scheduled for deployment.
- Confirm attendance and reporting.
- Identify no-shows and replacement requirements.
- Review urgent client/site requirements.
During the Day
- Source and register workers.
- Complete onboarding.
- Prepare schedules and assignments.
- Communicate deployment information.
- Monitor attendance.
- Coordinate with supervisors.
- Resolve operational issues.
- Update the system continuously.
End of Day
- Confirm attendance records.
- Review unresolved issues.
- Update worker and assignment statuses.
- Complete outstanding tasks.
- Escalate unresolved matters.
- Submit the required daily report.
