Job Description
Job Title: Exports Manager
Organization: Fracht Uganda
Location: Kampala Office
Reports to: Managing Director.
Department: Exports.

Job Main Purpose
Manage Exports Department with the entity, which entails direct responsibility of managing the P & L, staff structure and operational aspect of the department.

1. Managing Director
2. Client Relations Manager & File Operators.
3. Transport Coordinator
4. Field Operations Coordinator
5. Finance Team
6. Exports Field Staff
7. Fracht Malaba Team and other Branch Staff.

External Direct Collaborators.
1. Clients
2. Subcontractors
3. Fracht Network
4. Government Agencies.


MAIN TASKS AND RESPONSIBILITIES/DETAILS
Manage Exports Team

1. Inform the team of entity strategy/evolutions and communicate on required alignments.
2. Set goals in terms of quality of service & cost control.
3. Assess the performance of the team.
4. Develop and maintain the competencies.
5. Ensure a smooth transfer of files/issues when there’s change in the team
6. Set up an induction program for new exports staff in collaboration with HR and interview/select potential staff.
7. Ensure daily/weekly/monthly meetings are performed with the team.

Build & Adapt Process & Organization
1. Build and review regularly the exports organization including the set up and skills.
2. Define SOP’s in collaboration QHSE and HR.
3. Organize quality review within operations and implement validated recommendations.
4. Ensure exhaustive use of business tools (Trakit and Tally) by the team within the department.

Client Portfolio management.
1. Review regularly the client portfolio of the department regarding quality of service delivered profitability and available means.
2. Ensure regular client engagements and monthly KPI meetings arranged.
3. Ensure best quality of service is delivered to client and charges correctly billed as per service agreement.
4. Ensure that no potential business with existing client is lost.
5. Define the general tariff grid and submit to MD for validation.
6. Validate/support sales departmental actions for specific quotations (technical validation & tariff)
7. Support sales department during client visits and presentation.

Operational Controls & File Management.
1. Closely monitor quality of service and profitability for each customer.
2. Update and review of invoicing lines (Once a year minimum)
3. Responsible for the achievement of budget goals in terms of gross Margin, costs, disbursements and quality service.
4. Involvement in credit control committee.
5. Validation of cash clients in the business software.

Manage Operational relationship With subcontractors.
1. In charge of operational relationship with selected subcontractors internal and external (inclusive of tariff negotiations following guidance from MD.
2. Organize and follow the quality of service delivered by the subcontractors & provide corresponding feedback to MD.
3. Ensure the balance of workload within the team and between subcontractors.

REQUIRED SKILLS
1. Bachelor’s degree in any Business Course
2. Master’s degree is an added advantage
3. At least 07 years’ experience in clearing and forwarding
4. At least 3 years’ experience as a manager.
5. Good knowledge of Microsoft Office.
6. Good use of email
7. Excellent communicator.
