About Giving Refugees Hope International (GRHI).
Giving Refugees Hope International (GRHI), a nonprofit corporation organized and existing under the laws of the State of New Jersey, recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, with a principal place of business at 3 Dogwood Hill, Upper Saddle River, NJ 07458 (“Nonprofit”); and its Ugandan affiliate, Giving Refugees Hope International Limited, with operations in Kyegegwa District, Uganda.
Position Overview
The Field Office Assistant will support the day-to-day administrative, logistical, and reporting functions of the field office. A key responsibility of this role is managing trial supplies and lotion inventory, including receiving, recording, securely storing, and issuing stock to field staff. The Field Office Assistant will ensure accurate stock tracking and accountability, while also supporting routine office operations.
Key Responsibilities
- Provide general administrative support to the field project team, including documentation, filing, and scheduling.
- Receive, record, and manage inventory of trial supplies, including mosquito repellent lotion and related materials.
- Maintain accurate stock records (physical and electronic), and oversee the secure storage of supplies.
- Issue repellent and other supplies to the Field Distribution Officer(s) based on approved distribution schedules.
- Track stock movement and ensure timely replenishment of inventory.
- Prepare regular stock and inventory reports for submission to the Director of Operations.
- Assist in compiling weekly and monthly project reports.
- Maintain an orderly and well-managed field office environment.
- Act as the point of contact for inventory and supplies accountability during audits or internal reviews.
Minimum Qualifications
- Diploma or degree in business administration, logistics, supply chain, or a related field.
- At least 1 year of experience in administrative roles, preferably in a health setting.
- Demonstrated experience in stock management or inventory control.
- Computer proficiency, particularly in MS Excel.
- Excellent organizational and record-keeping skills.
- High level of integrity and accountability in handling supplies.
- Strong written and verbal communication skills.
- Fluency in English and at least one local language spoken in Kyaka II.
Desirable
- Prior experience in public health or clinical research projects.
- Familiarity with mobile or digital inventory systems.
- Basic knowledge of Good Clinical Practice (GCP) or ethical handling of health-related products
