Description
ASIGMA is hiring a Finance Assistant that supports the efficient operation of the finance function by ensuring accurate processing of financial transactions, maintaining complete and organized records, and assisting with routine reconciliations and reporting activities. The role provides administrative and operational support to the Finance team, contributing to effective cash management, accounts payable processing, petty cash administration, and project reporting requirements. Working closely with Finance Associates, the Finance Assistant helps ensure compliance with organizational financial policies, internal controls, and audit requirements while supporting the timely and accurate delivery of finance services across the organization.
Responsibilities
Transaction Processing and Data Entry – Payables
- Assist with processing receivables and payables documentation and maintaining transaction records.
- Post all Head Office bills with the respective supporting documents accurately in the accounting system.
- Assist the Finance Associate – Expense Management to ensure that all the payables in the accounting system reflect the correct closing balances.
- Perform basic checks to ensure completeness of supporting documents before submission for review.
Routine Reconciliations
- Support preparation of routine reconciliations including bank, prepaid card, cash supplier, and ledger reconciliations.
- Identify and escalate discrepancies for review and resolution by the Finance Associates.
- Maintain reconciliation schedules and supporting documents.
Documentation and Filing Management
- Maintain organised physical and electronic filing systems for finance documents.
- Ensure invoices, payment records, contracts, and supporting schedules are complete and accessible.
- Support document retrieval for reporting and audit purposes.
Administrative Support to Finance Team
- Provide day-to-day administrative support to the Finance team.
- Prepare simple reports, trackers, and schedules as requested.
- Coordinate approvals, organise finance documents, and support routine finance operations.
Support operational cash needs
- Support the administration and processing of routine operational cash requirements at the Head office and small-value payments ensuring requests are complete, approved, and processed in line with established financial controls, policies, and delegated authority limits.
- Maintain accurate records and supporting documentation for accountability and audit purposes.
Support in SAYE Reporting
- Compile all the supporting documentation under the SAYE Project and organise these electronically for the SAYE report
- Fill in the SAYE reporting template and submit for further reviews
Petty Cash Management
- Support the Finance Associate – Expense Management in ensuring timely replenishment, recording and reconciliation of Head Office petty cash.
- Any other duty assigned by the supervisor.
Qualifications
- Bachelor’s degree in accounting, Finance, Business Administration, or related field.
- At least 1–2 years of experience in a similar finance/accounting role, preferably within a project environment.
- ACCA or CPA (Level II or higher) is an added advantage.
- Knowledge of financial regulations and accounting standards applicable in Uganda.
- Proficient in Microsoft Office, particularly Excel.
- Familiarity with accounting software such as QuickBooks or ERP systems.
- Strong attention to detail, accuracy, and organizational skills.
- Ability to work independently and in a team within a field-based project setting.
- Strong interpersonal and communication skills.
- Ability to manage competing priorities and meet deadlines.
- Willingness to be based full-time in Masaka and travel within project areas as needed.
- Demonstrated integrity, confidentiality, and professionalism.
