JOB DETAILS:

Activities
1. Work closely with the Stakeholder Engagement Coordinator, to manage engagement with project stakeholders at national and subnational level to establish strong working relationships, and project information advocates.
2. Manage and maintain stakeholder maps, develop and execute annual engagement plan, prepare communications to stakeholders and respond to stakeholder enquiries while collaborating across teams to meet functional requirements for national and sub-national engagement.
3. Manage relational engagement including stakeholder mapping, identifying opinion leaders to engage as fact champions for the information on the project.
4. Identify and improve on gaps in stakeholder engagement as part of continuous improvement.
5. Coordinate and collaborate with the stakeholder engagement team, especially the Site Stakeholder Engagement Supervisor, the Grievance Coordinator and Community Liaison Officers as required.
6. Prepare and manage workshops, roundtable and forum logistics including developing agendas, project plans, minute taking and production of reports
7. Ensure accurate audit trail maintained of all stakeholder engagement and all contact/activities are recorded on stakeholder information management system
8. Coordinate and collaborate with other SP functions assuming delivery for programs aimed at mitigating adverse impacts as well as delivering positive development outcomes including Land Access and Resettlement, Contractor Assurance and Corporate Social Responsibility. In addition, coordination with staff responsible for Content Development and Monitoring, Evaluation and Reporting will be required.
9. Facilitate other Tilenga needs for engagement with national and sub-national stakeholder engagement as required and ensure feedback of stakeholder responses and requests to TotalEnergies EP Uganda are responded to within agreed timescales.
10. Assume responsibility developing strategy, plan and executing stakeholder engagement for other stakeholder categories as required (e.g., tourism)
11. Monitor Stakeholder Engagement performance and outcomes and ensure continuous improvement and work with Content and MER staff to develop appropriate monthly, quarterly and annual reporting reports and dashboards as agreed with Stakeholder Engagement Manager.

Qualification:

1. Degree in Communications

Experience:
1. At least 5 years’ experience in professional experience working in the communications
2. Experience with rural communities in Uganda, preferably within the Albertine area and/or with the tourism industry is a bonus
3. Demonstrable planning, organizational and execution skills
4. Ability to work with multiple teams in a complex and multicultural environment.
5. Ability to maintain good relations with a wide range of internal and external stakeholders, NGOs, donors, local authorities, local communities.
6. Relationship management
7. Excellent communication skills
8. Excellent analytical and report writing skills
9. Proficiency in Microsoft Office and other relevant software.


JOB DETAILS:

Tools:
1. Participate in the implementation and deployment of C&P tools and follow up on usage and implementation.
2. Support users and answer to any questions related to C&P Tools within the Company.
3. Report the progress of work related to C&P Tools in the Company to contribute to maintaining the internal knowledge of C&P tools for C&P and partner entities within the Company by:
4. Consolidating and documenting the experience, and know-how acquired in the performance of the duties.
5. Developing his knowledge of existing SAP products and new technologies covering the areas of purchasing, contracts, inventory.

Purchase Requisition Creation and follow up:
1. Create all PRs for stock consumption, materials or services and ensure they are approved by Cost and Metier Partners.
2. Create stock reservations.
3. Follow-up the progress of the PRs until they are transformed into POs and issued to suppliers and until the products and or services are received and invoiced.
4. Follow-up of the assigned Métier Partner Procurement Log.
5. Ensure regular UNISOL quality controls to limit “fake” backlog and organize associated cleaning operations.

Call-Off creation in strict compliance with the C&P Procedures and SOX:
1. Collect all required information from the Métier Partner contract administrators to issue the call off in due time.
2. Ensure that the Call off matches the contract remuneration schemes and proforma invoice approved by the Métier Partner contract administrators.
3. Ensure the Completion Certificates are fully executed by the Métier Partner contract administrators at the end of a contract.
4. Create Call Off from relevant and valid services agreements and follow up on invoices with accounts department.

Analysis/Reporting:

1. On a quarterly basis, hold Duet meeting with Finance to review the status of open procurement items in UNISOL and undertake a clean-up exercise where required.
2. Weekly reporting of open and new procurements created in UNISOL to support C&P Manager allocation of workload in team.

Communication:
1. Facilitate the internal communication between C&P and other entities of the affiliate for procurement matters.
2. Liaise with the TGP division about procurement activities and promote exchange of information internally in the Company.

Person Specification Education, Training, Skills & Experience
Qualification:

1. Bachelor’s degree in Business, Procurement, Statistics or related field.

Experience:
1. 5 years’ experience in an engineering, business analytics or commercial role.
2. Experience in contracts & procurement function in the Oil & Gas Industry is an added advantage.
3. Good knowledge of the company’s' Supply Chain tools is also an added advantage.
4. Good Interpersonal skills, Planning and problem solving oriented, strong coordination skills,
5. Excellent analytical and communication skills.
