Job Summary:
The Receptionist is the first point of contact for an organization, responsible for creating a professional and welcoming atmosphere. This role manages the front desk, directs visitors, answers phone calls, and performs basic administrative tasks to ensure smooth daily office operations.
Key Responsibilities:
- Greet and welcome visitors, clients, and job applicants professionally; issue visitor badges and notify staff of arrivals.
- Answer, screen, and forward incoming phone calls; take accurate messages and respond to routine inquiries.
- Manage multiple meeting room calendars, ensuring rooms are prepared and free for scheduled appointments.
- Sort and distribute incoming mail, packages, and courier deliveries; prepare outgoing shipments.
- Perform basic clerical duties (filing, photocopying, scanning, data entry, printing labels).
- Maintain the cleanliness and organization of the reception area, lobby, and conference rooms.
- Order and stock office supplies for the front desk and common areas.
- Assist HR or admin teams with onboarding paperwork or event coordination as needed.
Qualifications:
- High school diploma or equivalent; some college coursework preferred.
- 1+ year of experience in an administrative or front-desk role.
- Proficiency in MS Office (Word, Outlook, Excel) and multi-line phone systems.
- Typing speed of 40+ WPM.
