Location: Kampala (Primary Duty Station)
Reports to: Supply Chain Officer
Contract Duration: One year renewable subject to performance, organizational needs, and funds availability

1. OUR MISSION: WHY THIS ROLE EXISTS
At Red Rhino Development, we believe access to safe and reliable water changes lives. Every water system we install, and every household we connect, depends on the right materials being in the right place at the right time. We are building healthier families, stronger communities, and sustainable systems that create long-term impact.

The Stores Assistant exists to keep our supplies accurate, safe, and ready, so that our field and technical teams are never held back and every item entrusted to us is accounted for.

2. WHY THIS ROLE MATTERS
This role directly influences how reliably our mission is delivered. The person in this role will: receive and safeguard stock accurately; keep inventory records complete and up to date; ensure items are issued only after proper verification; support forecasting so stock levels stay adequate; maintain a clean, safe, and well-organized store; and provide the documentation our supply chain and finance teams depend on.

Success in this role means no stock-outs that delay work, no unexplained losses, and a store that passes every count and audit.

3. WHO WE ARE LOOKING FOR
The ideal candidate demonstrates:

Character: High integrity, honesty, accountability, personal ownership, and a service mindset.

Work Style: Organized, meticulous, self-driven, and able to work independently with minimal supervision as well as in a team, even under pressure and with limited resources.

Communication: Clear written and verbal communication, strong interpersonal skills, and the ability to engage stakeholders with respect.

Mindset: Results-oriented, proactive, detail-focused, and committed to the organization's mission and values.

4. YOUR FIRST 90 DAYS
Within your first 90 days, success means: understanding the store layout, stock lines, and the stock movement and documentation process; building working relationships with the Stores Supervisor, Supply Chain Officer, and Finance and Technical teams; completing a full physical count and reconciling it with records; organizing and labelling stock for easy retrieval; submitting complete store documentation every day before close of business; completing the first safety inspection of fire extinguishers, emergency exits, and alarms; and identifying quick wins to improve store organization and stock rotation. Success will be visible and measurable.

5. KEY RESPONSIBILITIES A. Receiving & Inspection

  • Assist in receiving, inspecting, and documenting incoming stock.
  • Receive only deliveries that have been communicated in advance.
  • Ensure accurate documentation, including invoices, delivery notes (DN), and payment records.

B. Inventory Control & Stock Counting

  • Carry out physical stock taking every month and report to the Supply Chain Officer for reconciliation.
  • Conduct periodic stock audits, including physical counts and quality checks.
  • Track and report inventory movement, ensuring proper stock rotation.
  • Support inventory forecasting to maintain adequate stock levels.

C. Issuing & Distribution

  • Verify every request properly before releasing items from the store.
  • Organize and label stock for efficient retrieval and distribution.
  • Arrange deliveries in coordination with the Supply Chain Officer.

D. Store Organization & Maintenance

  • Maintain optimal store conditions, including organization and visual merchandising, with shelves and displays arranged for easy access.
  • Inspect, clean, and maintain store equipment and machinery, and keep the stockyard clean daily.
  • Support periodic maintenance of store equipment and infrastructure so the store stays safe and functional.

E. Health, Safety & Compliance

  • Conduct periodic safety inspections of fire extinguishers, emergency exits, and alarm systems, and report any issues to the Stores Supervisor.
  • Ensure compliance with health, safety, and regulatory standards.

F. Customer Service, Documentation & Reporting

  • Collect customer feedback and address concerns related to orders and shipments.
  • Handle product returns or exchanges following organizational policies.
  • Submit up-to-date store documentation to the Stores Supervisor daily before close of business.
  • Perform any other related tasks as assigned.

6. WHAT SUCCESS LOOKS LIKE (YOUR SCOREBOARD)

Success in this role means: monthly physical counts completed on time and reconciled with records; accurate stock levels with minimal variances; every item issued with proper verification; correct stock rotation with no expired or damaged stock; complete store documentation submitted daily before close of business; a clean, safe, and well-organized store; and timely, accurate reporting to the Stores Supervisor and Supply Chain Officer.

7. THE CHALLENGE

This role is demanding. It requires someone who can stay accurate and disciplined when work is busy and resources are limited. It demands: strong attention to detail, physical stamina (including lifting and moving heavy items and working on your feet for long periods), sound judgment, integrity around valuable stock, time management, and the discipline to follow procedures and cut-off times even when pressured to bend them.

8. MINIMUM QUALIFICATIONS

Certificate or Diploma in Stores and Inventory Management, Supply Chain, Procurement, or a related field.
