Position Summary

The Student Coordinator is responsible for the overall welfare, discipline, and holistic development of students at AsOne Ministries.

The role serves as a key link between students, teachers, parents/guardians, and school leadership, ensuring that each learner's academic, social, emotional, and spiritual needs are supported.

The Student Coordinator plays a central role in maintaining student records, coordinating guidance and counseling, managing discipline processes, organizing co-curricular and student-focused programs, and promoting child safeguarding within a Christ-centered framework.

Key Responsibilities

1. Discipleship & Spiritual Formation

  • Oversee the school devotion program and ensure devotions are held consistently and are engaging and age-appropriate.
  • Conduct lessons and mentorship sessions on discipleship to help students grow in Christian character and faith.
  • Organize and coordinate discipleship activities and clubs, including Scripture Union, Bible quizzes, and other faith-based programs.
  • Plan and coordinate student community visits and outreach engagements.
  • Partner with church and community leaders to strengthen discipleship and outreach opportunities.
  • Monitor and report on the impact of discipleship and spiritual formation activities on student character and spiritual growth.

2. Child Safeguarding

  • Serve as the school's designated Child Safeguarding Focal Point Person and first point of contact for child safety and protection concerns.
  • Ensure students are protected from sexual harassment and abuse, bullying, corporal or other harmful punishment, neglect, and child labour.
  • Promote and enforce positive, non-violent discipline methods in line with the school's child protection policy.
  • Conduct age-appropriate sensitization sessions on personal safety, body safety, consent, bullying prevention, and reporting abuse.
  • Train and sensitize teaching and support staff on child protection standards, appropriate conduct, and reporting obligations.
  • Establish and maintain clear, child-friendly reporting channels for students to safely raise concerns.
  • Promptly and confidentially investigate, document, and respond to reported child safety concerns in accordance with school policies.
  • Maintain secure and confidential safeguarding records and ensure appropriate follow-up, referral, and support.
  • Refer serious cases of abuse, harassment, or exploitation to relevant authorities in accordance with national child protection laws.
  • Monitor classrooms, school grounds, transport, sanitation facilities, and other areas for potential safety risks.
  • Educate students on online safety and responsible use of technology.
  • Sensitize parents, guardians, and community leaders on child protection.
  • Ensure new staff, volunteers, and visitors comply with safe recruitment and child protection guidelines.
  • Stay updated on relevant national and organizational child protection policies, including Uganda's Children Act and OVC guidelines.

3. Home Visits

  • Follow up with students who have not reported back to school and visit their homes to establish the reasons for absence.
  • Visit students' homes where school fees or other financial challenges are affecting attendance.
  • Coordinate and accompany donor visits to students' homes, ensuring visits are organized and respectful of families.

4. Student Welfare & Support

  • Monitor the general welfare, health, and wellbeing of students.
  • Identify students experiencing academic, social, emotional, or home-related challenges.
  • Coordinate appropriate support for students facing difficulties.
  • Provide guidance and counseling or refer complex cases to appropriate professionals.
  • Follow up on vulnerable, at-risk, and sponsored students.
  • Promote a caring, safe, inclusive, and supportive environment for all students.

5. Student Discipline & Conduct

  • Coordinate implementation of the school's student discipline and code of conduct policies.
  • Handle day-to-day discipline matters fairly and consistently.
  • Escalate serious disciplinary cases to the Head Teacher.
  • Maintain accurate discipline records and follow up on corrective actions and behavior improvement plans.
  • Work with teachers and parents/guardians to address recurring behavioral concerns.
  • Promote positive behavior, respect, responsibility, and spiritual growth.

6. Student Records & Administration

  • Maintain accurate and up-to-date student records, including attendance, enrollment, discipline, and welfare files.
  • Track attendance patterns and follow up on absenteeism with teachers and parents/guardians.
  • Coordinate student registration, class placement, and transition processes.
  • Prepare regular reports on student welfare, discipline, and attendance for school leadership.

7. Parent & Guardian Engagement

  • Serve as a key point of contact for parents and guardians regarding student welfare and discipline.
  • Organize and participate in parent meetings, communications, and home visits.
  • Communicate school expectations, policies, and updates clearly to parents and guardians.
  • Build strong, trust-based relationships between the school and student families.

8. Co-Curricular & Student Programs

  • Coordinate co-curricular activities, clubs, sports, and student leadership programs.
  • Organize student events and fellowships.
  • Support mentorship and life-skills programs.
  • Encourage student participation in spiritual, academic, and talent-development activities.

9. Collaboration with Staff & Leadership

  • Work closely with teachers to identify and address student welfare and discipline concerns.
  • Support the Head Teacher and Director of Studies in implementing student-related policies.
  • Collaborate with sponsorship, health, and community teams on student support programs where applicable.
  • Participate actively in staff meetings, devotions, and school-wide initiatives.

10. Other Duties

  • Perform any additional duties assigned by the Head Teacher or school administration as needs arise.

Required Qualifications & Experience

  • Diploma or Degree in Education, Guidance and Counseling, Social Work, or a related field.
  • Minimum of 2 years' experience in student welfare, discipline, guidance and counseling, or a related role within a school setting.
  • Sound understanding of child protection principles and student welfare best practices.
  • Demonstrated personal Christian faith and commitment to Christ-centered student development.

  • Strong listening, counseling, and conflict-resolution skills.
  • Fair, consistent, and firm when handling discipline matters.
