Background information about the job or company
We are recruiting on behalf of our client, a growing organisation based in Zambia, for an experienced and hands-on Human Resources Manager to lead and manage its HR function.The successful candidate will be responsible for ensuring effective management of employees, HR processes and workplace practices, while maintaining compliance with Zambian labour laws and company policies. The role will provide HR support to Management across recruitment, employee relations, performance management, disciplinary matters, payroll coordination, staff development and general HR administration.
Responsibilities or duties
1. Human Resources Management
Manage the day-to-day HR functions of the organisation.
Provide HR advice and support to Management and employees.
Develop and implement HR policies and procedures.
Maintain confidentiality of employee information.
2. Recruitment & Onboarding
Manage the recruitment process from advertising through to selection and appointment.
Conduct interviews and coordinate aptitude tests where required.
Prepare employment contracts and onboarding documentation.
Ensure new employees are properly inducted.
3. Employee Relations & Discipline
Handle employee concerns, grievances and workplace disputes.
Manage disciplinary cases in accordance with company policy and Zambian labour laws.
Advise Management on disciplinary and employee-relations matters.
Maintain accurate records of disciplinary cases.
4. Performance Management
Coordinate employee performance evaluations.
Monitor probation and contract periods.
Support Managers in setting employee targets and KPIs.
Develop and monitor Performance Improvement Plans (PIPs) where necessary.
5. HR Compliance
Ensure compliance with Zambian labour laws and employment regulations.
Ensure employment contracts, leave, disciplinary procedures and termination processes are properly managed.
Keep Management informed of important changes in labour legislation.
6. Payroll & Statutory Compliance
Coordinate with Accounts to ensure accurate payroll information.
Ensure proper administration of NAPSA, NHIMA, PAYE, Workers' Compensation and other applicable statutory requirements.
Handle employee payroll-related queries in coordination with Accounts.
7. Employee Records
Maintain accurate and confidential employee files and HR databases.
Monitor contracts, probation periods, leave balances and employee movements.
Ensure HR records are properly organised and updated.
8. Leave & Attendance
Manage employee leave administration.
Monitor attendance, absenteeism and punctuality.
Provide Management with reports on attendance and leave matters.
9. Training & Development
Identify employee training and development needs.
Coordinate staff training and development programmes.
Maintain accurate training records.
10. HR Reporting
Prepare regular HR reports for Management.
Maintain HR trackers covering recruitment, contracts, probation, leave, performance, disciplinary cases and other HR activities.
Provide recommendations to Management on HR matters.
Qualifications or requirements
Key Skills & Competencies
Strong knowledge of Zambian labour laws and HR practices.
Strong understanding of disciplinary and grievance procedures.
Good leadership and people-management skills.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Excellent organisation and attention to detail.
High level of integrity, confidentiality and professionalism.
Ability to work independently with minimal supervision.
Good computer and HR systems skills.
Ability to work effectively in a fast-paced environment.
Qualifications & Experience
Bachelor’s degree in Human Resource Management.
5–7 years of HR experience, preferably including experience in an HR supervisory or management role.
Strong knowledge of Zambian labour laws.
Demonstrated experience in recruitment, employee relations, disciplinary management, performance management and HR administration.
Knowledge of NAPSA, NHIMA, PAYE, Workers' Compensation and other statutory requirements.
Experience using HR systems and Microsoft Office
Professional HR qualification or membership with a recognised HR professional body.
Experience in logistics, clearing and forwarding, supply chain, or a similar operational environment.
Experience managing HR across multiple branches.
