Job Title: Human Resources Executive
Reports To: HR Business Partner
Department: HR & Administration
Supervises: None
JOB PURPOSE
The HR Executive is responsible for supporting the daily HR operations within the organization, specifically handling employee performance, recruitment, onboarding, payroll processing, and maintaining HR records. The HR Executive will work closely with the HR Business Partner (HRBP) to ensure smooth HR operations, legal compliance, and assist in the implementation of HR policies and procedures.
Responsibilities or duties
- Employee Records & Database Management: Maintain and update employee records in HR systems, ensuring accuracy and compliance with legal standards.
- Payroll Administration: Assist in the preparation of the monthly payroll for all employees, ensuring timely and accurate payment processing. Generate and issue pay slips as required.
- Attendance and Leave Management: Monitor employee attendance, clock-in/clock-out records, and manage leave records to ensure compliance with company policies.
- Recruitment and Onboarding: Coordinate the recruitment, selection, and onboarding of new employees. Assist in preparing job descriptions, interview scheduling, and contract preparation.
- Contract Management: Track employee contracts, including renewals and expirations, and ensure timely processing.
- Performance Management: Assist the HRBP in administering the performance management cycle, including performance appraisals, feedback sessions, and reporting.
- HR Documentation & Reporting: Assist in maintaining HR documents, such as contracts, appraisals, and other employment records. Prepare monthly HR metrics reports and update them on SharePoint.
- Employee Grievances & Support: Record and facilitate the resolution of employee grievances. Provide guidance on employee behaviour, investigations, and corrective actions.
- Employee Benefits & Recognition: Support the administration of employee recognition programs, wellness initiatives, and benefits such as medical cover.
- Exit Process: Support the exit process for departing employees, including conducting exit interviews and ensuring proper clearance procedures.
- HR Process Automation: Lead or support initiatives aimed at automating HR functions for increased efficiency and effectiveness.
- Employee Queries & Communication: Respond to employee queries related to HR policies, payroll, benefits, and other HR-related matters, ensuring confidentiality and professionalism.
- General Administrative Support: Prepare correspondence, arrange meetings, take meeting minutes, and handle confidential HR-related documents and reports.
- Compliance & Policy Updates: Stay updated on the latest trends and changes in HR practices and employment laws to ensure legal compliance. Assist in reviewing and updating company policies.
- Any other duties as assigned by the HR Business Partner or other management staff.
Qualifications or requirements
Mandatory Requirements:
- A bachelor’s degree in human resource management, Business Administration, or any other related field.
Experience needed
- Minimum of 3 years of experience in human resources or administrative roles, ideally in a fast-paced environment.
- Familiarity with HRM digital platforms or ERP systems is highly advantageous.

* Excellent Organizational Skills: Ability to manage multiple tasks and prioritize effectively. * Proficiency in Microsoft Office: Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). * Experience with HRMS: Hands-on experience with Human Resource Management Systems and HR digital platforms. * Knowledge of Labor Laws: Basic understanding of employment and labor laws, particularly in Uganda and East Africa. * People Management: Strong interpersonal and people management skills with the ability to work collaboratively across all levels of the organization. * Communication Skills: Excellent written and verbal communication skills, including the ability to present information clearly and concisely. * Problem Solving: Strong analytical and problem-solving skills, especially related to HR functions and employee management.
