General Objective:

 The primary objective of this engagement is to facilitate our client’s organizational culture transformation.

2.2 Specific Objectives

  1. To carry out carry out a diagnosis/ audit and document the current corporate cultural norms and gaps.
  2. To design the new desired culture based on the audit findings, ensuring alignment with the institution’s mission, vision, values, and strategic goals.
  3. To propose possible remedies to the cultural challenges identified, to improve collaboration, communication, and alignment with organizational goals.
  4. To develop a unified and dynamic cultural environment that fosters high performance, mutual respect, and innovation.
  5. To develop a monitoring and evaluation matrix for the success of and ensuring sustainable, transformation, cultural change.
  • Duration of the Engagement

The culture transformation process will be executed over 90 working days. The process will be divided into three main phases:

  1. Phase One: Culture Audit and Documentation of the current state(30 working days)
  2. Phase Two: Designing a new culture environment (25 working days)
  3. Phase Three: Implementation Roadmap(35 working days)

The process may be extended if additional time is needed to ensure thorough implementation or address emerging challenges.

Note: Any extension will be subject to mutual agreed between with the Consultant based on a revised work plan and budget.

  • Scope of Services

The consultant will be expected to provide the following services:

Phase 1: Culture Audit and documentation of the current state:

  1. Conduct a comprehensive assessment of the current organizational culture
  2. Identify key cultural barriers and areas of strength.
  3. Engage employees and other stakeholders where appropriate at all levels to understand their perceptions and experiences.

Phase 2: Designing a new culture environment

  1. Design a new desired culture blueprint based on the audit and the stakeholders interaction results.
  2. Facilitate discussions with board members, senior management, and employees to ensure inclusivity in the new culture design.
  3. Develop a transformation roadmap that includes a clear plan for implementing the new culture.

Phase 3: Implementation road map

  1. Facilitate the induction of patrons and champions/ambassadors to support the culture transformation.
  2. Develop and implement training, communication, and change management plans.
  3. Conduct coaching sessions and workshops with leadership and employees to ensure alignment with the new culture.
  4. Establish mechanisms for monitoring and evaluating progress throughout the transformation process.
  5.  Specific Deliverables

The key deliverables for the engagement will include:

  1. Culture Audit Report: A comprehensive report detailing the current organizational culture, its strengths, weaknesses, and opportunities for improvement.
  2. New Culture Blueprint: A clear and actionable plan outlining the desired culture, including specific values, behaviors, and practices to be fostered.
  3. Transformation Roadmap: A detailed plan for the implementation of the new culture, including timelines, resources, and responsibilities.
  4. Training and Coaching Materials: Tools and resources to support cultural change, including training module handouts, and presentation materials such as flyers, culture booklets, branded items etc.
  5. Sustainability Plan: Recommendations for ongoing training, internal communication strategies, and a culture committee to oversee long-term alignment. (monitoring and evaluation matrix tool)
  6. Final Report: A report summarizing the transformation process, including qualitative and quantitative   feedback from participants and an assessment of the success of the initiatives
  7. Qualifications, Experience, and Skills for the Consultant
  8. Team LeaderA Master’s degree in either Organizational Development, HR, Business Administration, Psychology, or a related field. Minimum 10 years of experience in organizational culture transformation. Expertise in facilitating large-scale cultural change in a reputable organization Experience in the financial services or microfinance services sector to ensure the consultant understands the unique challenges and regulatory requirements.
  9. Other team membersBachelor’s degree in either Organizational Development, HR, Business Administration, Psychology, or a related field and a minimum of 5 years’ working experience in culture transformation or change management or any relevant field , with proven skills and expertise in designing and delivering interactive training sessions and facilitating group discussions Experience in the financial services or microfinance services sector to ensure the consultant understands the unique challenges and regulatory requirements.  
  10. Key Skills:

    1. Expertise in organizational culture, culture assessments, and culture transformation.
    2. Strong change management and leadership development experience.
    3. Skilled in facilitation, workshops, and group sessions for all levels of an organization.
    4. Excellent communication, analytical, and strategic thinking abilities.

    Note. Reference shall be sought from the past clients where similar assignments have been delivered by the consultant.

    7.0 Reports and Time Schedule

    The consultant will submit the following reports:

    1. Inception Report: This will include the methodology, work plan, and logistics within 7 days of contract signing. The report will be submitted in 1 soft copy and 3 hard copies.
    2. Draft Report: showing the findings of the culture audit carried out, recommendations, success stories of the culture transformation engagements and feedback.
    3. Monthly reporting: The consultant shall submit progress reports at the end of each phase i.e. a culture audit report, new culture blueprint / the transformation road map.
    4. Final Report: A final report detailing the success of the culture transformation process, including feedback from participants and measurable outcomes. The final report will be delivered at the end of the engagement period.

    8.0 Budget and Payment Terms

    Budget Estimate: The consultant will provide a budget that includes the following:

    1. Audit and diagnostic fees
    2. Trainer’s fees.
    3. Training materials (handouts, presentations, templates, etc.).
    4. Venue costs (if applicable).
    5. Logistics (transportation, accommodation, etc.).
    6. Miscellaneous expenses related to the training.

    Payment Terms:

    1. 20% of the agreed contract price upon presentation and approval of the inception report.
    2. 50% of the agreed contract price upon presentation and approval of the culture audit report, new culture blue print (draft report.)
    3. 30% of the agreed contract price upon presentation and approval of the final report.

    Note. Payments will be processed upon receipt of satisfactory invoice from the service provider

    9.0 Governance

    The contract manager for this consultancy will be the Head of Human Resources, who will be the liaison officer between the organization and the consulting firm/Individual, and will ensure that the exercise remains on track and aligned with organizational goals.
