1. 1. Introduction

ADRA Uganda is a global humanitarian faith-based organization that delivers relief and development assistance to individuals in more than 100 countries—regardless of their ethnicity, political affiliation, gender, or religious association. By partnering with local communities, organizations, and governments, we are able to deliver culturally relevant programs and build local capability for sustainable change.

As part of our community engagement and wellness initiatives, we are planning to organize a Marathon/Run event to be held simultaneously across all our office locations.

We are therefore seeking a qualified consultant/firm with proven expertise in event management, sports facilitation, and community engagement to provide professional services in the planning, coordination, and execution of the marathon.

2. 2. Scope of Work

The consultant/firm will be expected to:

• Coordinating with the ADRA Uganda committee, develop a comprehensive marathon concept and implementation plan.
• Coordinate with relevant stakeholders (local authorities, sponsors, service providers, volunteers, media, etc.).

• Facilitate all logistics for the marathon including race routes, permits, safety, medical support, hydration points, and timing systems.

• Support in designing visibility support (T-shirts and promotional materials).
• Oversee registration processes and participant management.

• Ensure compliance with safety, security, and legal requirements.

• Document and report on the event (narrative, photos, participant statistics).

3. 3. Deliverables

• Detailed marathon work plan with timelines.

• Successfully executed marathon event across all office locations.

• Post-event report with outcomes, challenges, and recommendations.

4. 4. Consultant/Company Requirements

Interested consultants/firms should demonstrate:

• Proven experience in organizing and managing large-scale sports events/marathons.

• Availability of skilled personnel in event management, logistics, safety, and communications.
• Strong networks and ability to coordinate with local authorities and service providers.

• Capacity to deliver within the set timelines.

5. 5. Submission Requirements

Interested consultants/firms are invited to submit:

1. A technical proposal outlining understanding of the assignment, methodology, and proposed approach.

2. A financial proposal with detailed cost estimates.

3. Company profile (If applicable), CVs of key staff, and evidence of similar past assignments.
4. At least two references from previous similar assignments.
