Job Purpose
To provide administrative and clerical support to ensure efficient day-to-day operations.
Key Responsibilities
- General Admin Support: Typing, filing, photocopying, scanning.
- Communication Management: Handling calls, emails, and correspondence.
- Meeting Coordination: Organizing meetings, taking minutes, preparing docs.
- Records Management: Staff attendance, leave schedules, inventory, and procurement.
- Documentation: Preparing reports, presentations, and maintaining filing systems (physical/electronic).
- Logistics: Coordinating travel and accommodation for staff.
- Liaison: Acting as a bridge between departments and external stakeholders.
- Office Maintenance: Ensuring cleanliness and functionality of the Team Leader’s office.
- Confidentiality: Safeguarding sensitive information.
Qualifications & Requirements
- Education: Diploma/Bachelor’s in Business Administration, Office Management, Public Administration, or related field.
- Age: 25–30 years.
- Experience: 1–2 years in administrative roles.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Soft Skills:
- Strong communication and interpersonal skills.
- Organizational and multitasking abilities.
- Ability to work independently and in a team.
- Discretion and responsibility.
Personal Attributes
- Detail-oriented, proactive, professional, and friendly.
- High integrity, ability to work under pressure, and meet deadlines.
