About the Role
The Facilities Officer is accountable for the physical condition and performance of AsOne's buildings and infrastructure across their assigned communities. This role safeguards construction quality and maintenance standards over the long term, supports new builds and major upgrades, keeps an accurate record of the organization's asset base and condition, and works closely with the expansion project team so that new construction and ongoing facilities management stay aligned.
Key Responsibilities
Facilities Oversight
- Oversee the condition, safety, and functionality of all physical facilities across your assigned communities
- Act as the primary point of accountability for facilities-related issues raised by community teams
- Plan and coordinate routine inspections across all sites in your area of responsibility
Construction Quality & Maintenance Standards
- Set and enforce construction quality and maintenance standards across all AsOne facilities
- Develop and roll out preventive maintenance schedules and workmanship checklists for community-level teams
- Identify recurring defects or maintenance issues and recommend standard fixes or process improvements
Quarterly Maintenance Planning & Budgeting
- Own the quarterly maintenance plan across all communities in your assigned cluster
- Collect and review repair and maintenance requests submitted by each community, and develop the quarterly maintenance budget based on this documented need
- Submit the quarterly maintenance budget for approval, and track actual spend against approved funds
- Follow up on every approved repair or maintenance item to confirm it was completed as specified and within the approved budget
- Report variances, delays, or incomplete work back to the relevant community team and the Director of Expansion
New Builds & Major Upgrades
- Support the delivery of new builds and major upgrade projects, working alongside Project Managers and contractors
- Review completed and in-progress construction against AsOne's quality and maintenance standards
- Flag design or workmanship choices likely to create future maintenance burden, before they are locked in
Asset Tracking & Condition Management
- Maintain an accurate, up-to-date register of the organization's physical asset base — buildings, major fixtures, and infrastructure - across all communities
- Track the condition of each asset over time and flag assets approaching end-of-life or requiring major repair
- Prepare regular asset condition reports to support planning and budgeting decisions
Coordination with the Expansion Project Team
- Coordinate closely with the expansion project team to align new construction with facilities and maintenance requirements
- Share facilities data, standards, and lessons learned to inform the design and planning of new sites
- Participate in expansion planning discussions where facilities condition or maintenance history is relevant
What We're Looking For
Qualifications & Experience
- Degree or diploma in Facilities Management, Civil Engineering, Construction Management, or a related field
- Proven experience managing facilities, maintenance, or construction quality across multiple sites or locations
- Experience maintaining asset registers or condition-tracking systems
- Familiarity with Ugandan building codes and standard construction and maintenance practices
Competencies & Attributes
- Strong organisational skills, with the ability to track and manage facilities and assets across multiple communities
- Detail-oriented, with a systematic approach to inspections, records, and reporting
- Comfortable coordinating across teams — community staff, contractors, and the expansion project team
- Clear written and verbal reporting skills; willing to travel regularly between sites within the assigned cluster
- Genuine alignment with the mission, values, and Christian ethos of AsOne Ministries Uganda
