The Grants Accountant will provide financial management and accounting services for ADA funded projects, ensuring compliance with donor requirements, accurate financial reporting, and effective financial management. The successful candidate will have strong accounting skills, experience with donor-funded projects and the ability to work in a fast-paced environment.
Under the supervision of the National Grants Coordinator, the Grants Accountant will have the following task and responsibilities.
Roles and Responsibilities
Grant Financial Management:
- Manage the budgets and expenditures for Grow Equal Project and any other ADA funded project
- Conduct regular financial reviews and analysis for ADA projects
- Identify and develop measures for mitigation of financial risk
- Ensure accurate financial management of Grow Equal and other ADA projects
Financial Reporting:
- Prepare and submit to the National Grants Coordinator/Head of Finance all regular financial & management reports for Grow Equal and other ADA projects as per requirements SOS and the ADA/donor.
- Ensure reports are accurate, complete, and submitted as per established internal and external timelines
- Prepare and submit to the National Grant Coordinator/Head of Finance Quarterly and annual financial reports for Grow Equal and ADA projects as per established guidelines and requirements.
- Respond to or prepare responses to donor queries and requests for additional information relating to the Grow Equal and ADA projects.
Accounting and Bookkeeping:
- Maintain accurate and up-to-date accounting records for Grow Equal and other ADA projects as per requirements SOS and the ADA/donor.
- Manage general ledger accounts payable, and accounts receivable for Grow Equal and other ADA funded projects.
- Ensure accurate and timely recording of financial transactions into the accounting system (D365) by 7th of every following month and inform the National Grants Coordinator for posting.
- Ensure transfer needs for the following month are entered into NPO accelerator by the 5th of current month, to ensure timely approval. Incase of urgent needs or needs posted after the 5th and before 10th of the month, the Grants Accountant will inform the HoF to proactively contact the PSA for support
- Perform regular account reconciliations and resolve or report any discrepancies in a timely manner.
- Proactively ensure that refunds for centrally processed payments are followed up and paid within 5 days
Compliance:
- Familiarize with ADA rules and regulations, SOS policies, and procedures and national laws
- Ensure compliance with donor rules & regulations for the Grow Equal and other ADA projects
- Support in ensuring Organisational financial and internal control policies and procedures are followed
- Identify, address or report potential or actual compliance issues
Budgeting:
- Assist in preparing and managing Grow Equal and other ADA project budgets
- Prepare forecasts and variance analysis for Grow Equal and other ADA project budgets
- Support identify areas for cost savings and initiate cost optimization avenues
- Collaborate with project team members to ensure budget alignment with project objectives
Capacity Building:
- Participate in capacity assessment activities for both staff and KIPs in areas of financial management.
- Collaborate with project teams to design to develop and implement capacity building initiatives for Key Implementing Partners (KIPs) and follow-up their implementation.
- Conduct workshops and sessions to enhance staff capacity in financial management
- Develop and implement training programmes for staff on grants management, financial reporting and compliance with donor rules/regulations, organizational policies, and national regulations.
Internal Controls and Audit Support:
- Facilitate implementation and maintenance of internal controls to ensure financial integrity.
- Identify and support in the development of measures to mitigate financial risks including development of tools, drafting policies or procedures and initiatives to enhance internal control.
- Ensure adequate segregations of duties and accountability in the management of ADA funded projects.
- Main resource person to support audits, including preparation of financial statements and responding to routine auditor queries also seeking support for additional information requirements.
Safeguarding
- Ensuring that key stakeholders are made aware of safeguarding measures and are supported in implementing them
- Ensuring that safeguarding is integrated in all management processes including recruitment, onboarding, performance management, team meetings, annual planning process field-level monitoring, IWP, IDP etc.
- Creating and maintaining a managerial and operational environment where the Safeguarding Policy is effectively implemented.
Required Qualifications and Experience
A self-driven and detail-oriented finance professional with a minimum of a bachelor’s degree in Accounting, Financial Management or related field, membership in a recognized accounting body (e.g., ACCA or CPA) at level 2 or above, and 2–5 years’ experience in grant accounting and donor-funded projects particularly with ADA offering proven expertise in ERP systems like D365, strong analytical and problem-solving skills, high integrity, and a collaborative approach to achieving project goals.
