Head of Operations.
Reports to: Executive Director
Job purpose:
To provide general oversight of the entire Operation activities, organizing and coordinating banking services within the Bank. The Head of Operations will oversee the development, communication and enforcement of sound policies and structures, set up the work flow process for the banking operations, create a strong workforce by developing competent individuals in the banking operations team who will deliver operation activities (Front office and Back office) while ensuring due process, best customer service, accuracy and accountability using the most accurate and accountable systems that protects client data from the public and; also compliance with banking laws and regulatory requirements. .

Key Result Areas:
• Strategic management and planning as a member of senior management, contribute to the development and implementation of the Bank's overall strategic plan thus ensuring that the Bank operates in the most efficient and sustainable manner.
• Advise EXCO concerning all aspects of banking operations.
Branch Supervision:
• Oversight over the operations of the bank that includes the following:
• Development, communication and implementation of the Operations policies, procedures and manuals and work flow processes for banking operations.
• Create a strong workforce by developing and placing competent, effective and adequate staff in the banking operations team who have the expertise to execute all banking operations activities in line with the Balanced Score Cards.
• Ensure appropriate and compatible systems are in place to capture the necessary banking information and customer's data in the most meaningful way and rights assignment done in line with current activities.
• Development and enhancement of the internal control systems on activities within the banking environment, communicate such controls and monitor that they are being adhered to.
• Cash management and monitoring to ensure adequacy and safety while ensuring adherence to prevailing insurance limits and proper custody and safety of all cash resources.
• Responsible for ensuring outstanding customer relations, enhancement of complaints processing function, ensure complaints are analyzed and make efforts to improve the control environment for customers as well as imbibing the bank's service culture in all operations staff members.
Risk Management and Compliance:
• Identify risk factors and establish frameworks to mitigate risk in the Operations Department making sure there is a faster mechanism in place to enable quick and early detection and escalation of issues when they arise.
• Ensure compliance with Operations policies and procedures, BOU regulations, budget parameters, and procedures and the risk management framework operational within the Bank.
• Responsible for audit, risk and BOU findings /reports, and helping resolve issues raised as well as ensuring no repeat findings.
Back Office Operations
• Oversight over daily processing, clearing, confirmation and approval of all electronic funds transfers and payments to the different stakeholders, float management and control while ensuring proper income levels are realized and ensuring accurate and up-to-date reconciliations of all channel related accounts.
• Ensuring acceptable levels of uptime is achieved for all channel related systems.
• Overseeing Bank to stakeholder relationship for all direct third parties related to the channels function
Operational Efficiency and income growth
• Develop unique and value adding strategies and that lead to achievement of set income targets, in the most efficient way using delivery channels in line with the Banks strategic initiatives/plan as well as reviewing, monitoring and communicating performance to the stake holders.
• Suggesting/advising on array of new services and implementation ensuring that these fit within the Bank's mission.
• Develop strategies that allow the Bank to operate at its desired operational efficiency using available delivery channels.
Departmental planning and Management:
• Plan, develop and oversee the implementation of annual work plans and operational activities, systems and procedures in line with Bank of Uganda Regulations, bank policies and customer expectations.
• Preparing budgets and cost management and control.
• Participate in Management committees as member such as ALCO, Management Risk Committee, Operation and Management Credit Committee and such committees that shall be established from time to time and require participation of the Operations Function


Qualifications & Experience:
• Bachelor's degree in Commerce, Economics, Business Administration or related fields.
• Postgraduate qualifications such as MBA, or similar qualification as an added advantage
• Seven (7) years’ experience in the Banking field at least 4 years of which are senior management
• Experience in banking Operations with a proven track record of developing systems and procedures that support the Operations Function
• Knowledge of the Ugandan banking regulations and statutory requirements
