HIRING - HUMAN RESOURCES COORDINATOR

REPORTS TO: HUMAN RESOURCE MANAGER
Our client, Asilia Africa, is one of East Africa’s long standing safari companies with a reputation for providing incredible safari experiences, is seeking to hire a Human Resources Coordinator to join their team in Uganda.
JOB PURPOSE:
This individual will be responsible for the effective day-to-day execution and continuous improvement of core HR operations for the Uganda business, with primary ownership of certain employee lifecycle processes. The role ensures that talent acquisition, learning & development, HR administration, employee relations, benefits administration, compliance and performance management support are delivered accurately, consistently, on time and in line with company policy as well as applicable Ugandan employment law requirements.
ROLES & RESPONSIBILITIES:
- Workforce Planning, Job Design and Talent Acquisition: Support workforce planning and job design by maintaining current job descriptions & role profiles and coordinating end-to-end recruitment & selection processes for roles across Uganda.
- Onboarding Management: Coordinate preboarding, induction, onboarding as well as timely & accurate administration of the probation process and attendant actions.
- HR Records Management: Maintain accurate employee master data in the HRIS, complete personnel files and employee lifecycle documentation, and apply appropriate data quality, confidentiality, access, retention and employee data privacy controls.
- Compensation & Benefits Administration: Administer leave and employee benefits, coordinate preparation of accurate and timely payroll inputs, and maintain updated attendance records covering muster rolls, overtime, public holiday work and off-day utilisation.
- Learning and Development: Coordinate training needs analysis and the delivery of approved learning plans, including scheduling, attendance, completion reporting and evaluation of training effectiveness.
- Performance Management: Coordinate the performance management cycle, including objective setting, review schedules, manager reminders, completion tracking, documentation quality, performance improvement plans and preparation of review and calibration data.
- Employee Relations: Coordinate disciplinary, grievance and other employee relations cases, ensuring procedural fairness, accurate case documentation, timely escalation, case tracking and analysis of recurring themes and people risks.
- Employee Experience, Engagement and Communication: Coordinate the enhancement of employee voice, employee assistance programs and employee engagement activities, including town halls, Asilia Employment Committee (AEC) liaison and employee pulse surveys.
- HR Governance, Compliance and Risk Management: Maintain the Uganda HR compliance calendar and HR risk register, monitor compliance with applicable labour laws, coordinate HR audits, support policy implementation, maintain process controls and audit trails, and track compliance findings to closure in line with legal, statutory and company requirements.
- Contingent Workforce Management: Maintain compliant records and controls for casual and seasonal employees, including contracts, days worked, wage compliance, conversion risk and recurring staffing patterns.
- HR Advisory Support: Partner with relevant managers and teams to provide guidance on people-related matters.
- Offboarding: Coordinate employee separations and offboarding processes.
- People Analytics, Reporting and Continuous Improvement: Prepare monthly HR dashboards, analyse workforce and employee lifecycle metrics, and improve HR service delivery through process automation, standardised templates, reduced duplication and responsible use of digital and AI tools.
EDUCATIONAL QUALIFICATIONS & CAREER EXPERIENCE:
- Bachelor’s degree in human resources or related discipline.
- HRMAU Membership.
- At least four (4) years relevant HR experience preferably in hospitality or camps & lodges.
- Working knowledge and understanding of the safari industry is preferred.
- Demonstrable experience in HR Operations and employee relations.
- Tech-savvy, with experience using HRIS and capability to adopt AI.
- Commercial acumen.
- Meticulous attention to detail as well as a learning mindset.
- Good communication skills and a service delivery mindset.
- Ability to work well under pressure.
- Strong teamwork and collaboration skills.
- Ability to travel regularly to the field and work independently.
