Spear Motors Ltd, the general distributor for Mercedes-Benz Group AG, Daimler Trucks AG and Stellantis (Jeep), seeks to recruit a competent, experienced and results-oriented professional to strengthen the operations of the Parts Department at Spear Motors Limited.
Job Purpose:
As a Parts Operations Supervisor, you will be required to oversee the day-to-day operational activities of the Parts Department in order to ensure faster workflow, timely follow up of approvals, effective task allocation, prompt customer communication and improved service delivery. The role is intended to strengthen operational efficiency, improve coordination within the parts team, support workshop requirements and ensure customers receive timely and professional feedback on all parts-related inquiries.
Key Roles and Responsibilities
- Supervise daily operations within the Parts Department to ensure that inquiries, quotations, approvals, picking, dispatch and customer updates are handled promptly.
- Monitor workflow within the parts team and ensure that tasks are properly assigned, followed up and completed within agreed timelines.
- Follow up pending approvals, delayed transactions, outstanding quotations, unresolved customer inquiries and back orders to reduce operational delays.
- Take direct responsibility for the Parts Department telephone line and ensure that customer calls are answered promptly and professionally.
- Monitor and respond to customer inquiries received through WhatsApp and existing social media platforms.
- Ensure customers receive timely and accurate feedback regarding parts availability, prices, lead times, order status, delivery arrangements and any delays affecting their requests.
- Review open jobs, urgent workshop parts requirements and customer escalations and ensure timely action is taken.
- Monitor stock movement, fast-moving items, slow-moving items, urgent customer needs and special orders and escalate concerns where necessary.
- Ensure proper documentation of parts inquiries, quotations, approvals, orders, dispatch records, customer feedback and operational reports.
- Supervise team performance in areas such as turnaround time, communication, documentation, work accuracy, follow-up and task completion.
- Assist in training, coaching and developing the parts team to improve efficiency, professionalism, technical confidence and customer handling.
- Prepare regular operational reports and updates for management on workflow, challenges, pending matters, customer inquiries, back orders, escalations and departmental performance.
- Perform any other duties reasonably assigned by management to support parts operations and company objectives.
Qualifications, Skills and Experience
- Bachelor’s Degree in Business Administration (Procurement and Supply Chain Management, Sales and Marketing), Automotive Engineering.
- A diploma with strong and relevant practical experience in stores and inventory management is an added advantage.
- At least 5 years’ relevant experience in stores/parts operations, preferably in a reputable motor vehicle dealership or structured automotive environment.
- Strong knowledge of motor vehicle spare parts, parts interpretation and dealership parts operations.
- Proven experience in handling genuine vehicle parts, workshop support, parts ordering, quotations, stock coordination, customer inquiries, and customer feedback.
- Prior supervisory, coordination or team leadership experience is an added advantage.
- Good understanding of premium or technical brands handled by Spear Motors will be an added advantage.
- Ability to manage customer communication through telephone, WhatsApp, email and other digital platforms.
- Strong interpersonal, communication and coordination skills.
- Proficiency in Microsoft Office and dealership/ERP-related systems is an added advantage.
- Ability to speak additional local or international languages relevant to customer engagement will be an added advantage.
