Position Summary

The School Bursar is responsible for the overall financial management of the school, including fees collection, revenue management, financial record-keeping, procurement, inventory, and internal controls. The role ensures the prudent, transparent, and accountable use of school funds, and provides accurate and timely financial information to school leadership and AsOne Ministries. The Bursar also serves as a key point of contact for financial matters with parents, guardians, suppliers, and other stakeholders, all within a Christ-centered framework of integrity and stewardship.

Key Responsibilities

Financial Management

  • Oversee the day-to-day financial operations of the school, ensuring efficient and accountable use of resources.
  • Prepare the annual school budget in collaboration with the Head Teacher and school leadership, and monitor expenditure against it.
  • Advise school leadership on the financial implications of decisions and proposed activities.
  • Ensure all financial transactions comply with AsOne Ministries' financial policies and procedures.
  • Monitor cash flow to ensure the school can meet its operational obligations.

Fees Collection & Revenue Management

  • Coordinate the collection of school fees and other revenue, following the school's fees structure and payment schedule.
  • Maintain accurate, up-to-date records of fees paid, balances, and defaulters for each student.
  • Follow up with parents and guardians on outstanding fees balances, in coordination with the Student Coordinator where needed.
  • Issue receipts and maintain proper documentation for all fees and revenue collected.
  • Prepare regular fees collection and revenue reports for school leadership.

Petty Cash Management

  • Manage the school's petty cash, ensuring it is used only for approved, minor operational expenses.
  • Maintain an accurate and up-to-date petty cash book, recording all disbursements with proper supporting documentation.
  • Conduct regular petty cash reconciliations and replenish the float following proper authorization procedures.
  • Safeguard petty cash funds and ensure they are kept securely at all times.
  • Report any petty cash discrepancies or irregularities to school leadership promptly.

Financial Record Keeping & Reporting

  • Maintain accurate and organized day-to-day books of accounts, including ledgers, cash books, receipts, and invoices.
  • Prepare timely and accurate financial statements and reports, including income and expenditure statements, for school leadership and AsOne Ministries.
  • Reconcile bank statements, petty cash, and other accounts on a regular basis.
  • Ensure all financial documents are properly filed and retained in line with organizational record-keeping policies.
  • Support internal and external audits by providing accurate records and documentation as required.

Procurement & Inventory Management

  • Coordinate the procurement of school supplies, materials, and services in line with the school's procurement procedures.
  • Obtain and compare quotations to ensure value for money in all purchases.
  • Maintain an up-to-date inventory of school assets, supplies, and equipment.
  • Conduct regular stock checks and reconcile inventory records with physical stock.
  • Ensure proper storage, issuance, and tracking of school supplies and materials.

Internal Controls

  • Implement and enforce internal control measures to safeguard school funds, assets, and resources.
  • Ensure segregation of duties and proper authorization procedures are followed for all financial transactions.
  • Identify and flag any financial irregularities, discrepancies, or risks to school leadership promptly.
  • Ensure compliance with AsOne Ministries' financial policies, donor requirements, and relevant government regulations.

Management of School Funds

  • Ensure the safe custody and proper use of all school funds, including fees, grants, and donor contributions.
  • Process payments and disbursements only against proper authorization and supporting documentation.
  • Manage school bank accounts responsibly, ensuring funds are used for their intended purposes.
  • Support the mobilization and accountability of resources for school programs and donor-funded activities.

Stakeholder Communication

  • Serve as the school's key point of contact for parents and guardians on fees and financial matters.
  • Communicate fees structures, payment deadlines, and financial policies clearly to parents and guardians.
  • Liaise with suppliers, vendors, and service providers on procurement, payments, and contracts.
  • Provide clear and timely financial updates and reports to the Head Teacher, Director of Studies, and AsOne Ministries leadership.
  • Represent the school professionally in financial dealings with banks, government offices, and other external stakeholders.

Other Duties

  • Perform additional duties as assigned by the Head Teacher or administration as needs arise.

Required Qualifications & Experience

  • Education: Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
  • Professional certification (e.g., ACCA, CPA, or equivalent) is an added advantage.
  • Experience: Minimum of 2 years of experience in financial management, accounting, or bursary work, preferably within a school or non-profit setting.
  • Sound knowledge of bookkeeping, financial reporting, and basic accounting principles.
  • A demonstrated personal Christian faith and commitment to financial integrity and stewardship.

Behavioral Competencies

  • High level of integrity, honesty, and accountability in handling school funds.
  • Strong attention to detail and accuracy in financial record-keeping.
  • Excellent organizational and time-management skills.
