Medecins Sans Frontières - Support Unit Kampala (SUKA) is looking to recruit a suitable candidate for the position below:

Responsibilities or duties

Responsible for the day-to-day management of staff movements and associated processes according to MSF's standards and procedures and the local legislation in order to ensure the smooth running of MSF's activities.

Qualifications or requirements (e.g., education, skills)

Education: Degree in Business Administration, Public Administration, Office & Information Management, or Administrative Science.

Competencies/Skills: Must be computer literate (word, outlook, excel). High level of organization and planning skills. High level of integrity and accountability. Results and Quality Oriented; Teamwork; Flexibility; Mobility. Able to work within Multi-disciplinary and Multicultural People and with flawless communication.

Language: English is essential. French is an added advantage.

Experience needed

Minimum of three (3) years experience in similar roles. Previous working experience with MSF or other NGO is an asset.

Contract Duration: 1 year (Renewable, with 6 months probationary period)

  • Managing visas, plane tickets and associated required processes for the arrival and departure for both international staff and visitors to/from the country in connection with HQ (headquarters).
  • Coordinating the movements of staff (local and international) and related administrative formalities (passports, visas, per diems) with the projects and headquarters.
  • Updating of movement-related tools and mission contact information and their regular distribution (incl. movement lists and evacuation lists).
  • Responsible for sending information on movement restrictions, security rules, Security Guidelines and the Welcome file to all new arriving staff/stations to SUKA (Support Unit Kampala).
  • Responsible for the preparation of per diems, modes of telecommunication, lodging and in collaboration with the HR Assistant allocation of guesthouse rooms to international staff and visitors.
  • Working closely with external partners to stay informed on policies and procedures related to movements, entry/exit regulations (immigration, UN, airlines, INGONGOs, other MSF Operating Centres…)
  • Responsible for all administrative tasks required for personnel transferring through Kampala (incl. transportation, briefings, financial matters and lodging).
  • Responsible for the filing of administrative documents according to MSF standards and local legislation and sending required documentation to HQ in a timely manner.
  • Is responsible for sending the required documents such as: End of Mission Document (EOM), contract amendments, follow-up of international staff leave to HQ while respecting deadlines.
  • Is responsible for the proper archiving of administrative documents according to MSF standards and applicable country legislation.
  • Transmits documents and / or interprets conversations if necessary.
  • Any other duty as may be assigned by the supervisor from time to time.
