Position Summary

The Assistant Finance and Logistics Officer supports the efficient management of financial, administrative, procurement, logistics, and office operations within the World Renew Uganda Country Office. The position ensures compliance with World Renew policies and procedures, donor requirements, and local statutory regulations. The role is responsible for supporting financial management processes, procurement coordination, logistics administration, asset management, and supervision of front office and facilities operations. The Assistant Finance and Logistics Officer contributes to the effective stewardship of organizational resources while promoting accountability, operational efficiency, and excellent service delivery in support of World Renew's mission and programming in Uganda.

Key Responsibilities

Financial Management Support

  • Support the preparation and processing of payments, bank transactions, and financial documentation.
  • Verify payment requests for accuracy, completeness, and compliance with organizational policies.
  • Maintain financial records, vouchers, and supporting documentation.
  • Prepare monthly bank reconciliation statements.
  • Support budget monitoring and expenditure tracking.
  • Prepare periodic financial reports as assigned.
  • Ensure proper filing and archiving of financial documents.
  • Support external and internal audit processes.

Procurement and Logistics

  • Coordinate procurement processes in accordance with World Renew procurement policies and donor regulations.
  • Facilitate sourcing, obtaining quotations, bid evaluations, and vendor selection processes.
  • Prepare purchase orders and maintain procurement records.
  • Monitor supplier performance and maintain vendor databases.
  • Coordinate receipt, inspection, and delivery of goods and services.
  • Track procurement plans and ensure timely delivery of supplies and services.
  • Support inventory and warehouse management activities where applicable.

Asset and Inventory Management

  • Maintain an up-to-date asset register.
  • Coordinate periodic asset verification exercises.
  • Monitor assignment, movement, and disposal of organizational assets.
  • Ensure compliance with asset management policies.
  • Track office supplies and operational inventories.

Office Administration and Logistics

  • Support travel logistics including flight reservations, transport arrangements, accommodation bookings, and travel advances.
  • Coordinate meetings, workshops, and events logistics.
  • Ensure operational readiness of office facilities and equipment.
  • Support contract administration for service providers and vendors.
  • Monitor utility services and office operational needs.

Compliance and Risk Management

  • Ensure adherence to World Renew financial, procurement, and administrative policies.
  • Support statutory compliance including tax, NSSF, and other regulatory requirements as assigned.
  • Maintain confidentiality and safeguard organizational resources.
  • Identify operational risks and recommend mitigation measures.

Other Responsibilities

  • Support emergency response logistics when required.
  • Participate in organizational planning and operational improvement initiatives.
  • Perform other duties delegated by the Finance and Administration Manager.

Qualifications and Experience

Education

  • Bachelor's Degree in: Accounting, Finance, Business Administration, Commerce, or a related field

Experience

  • Minimum of 3 years of relevant experience in finance, administration, procurement, or logistics.
  • Experience working with NGOs, faith-based organizations, or international development organizations is preferred.
  • Experience supporting donor-funded programs is an added advantage.

Skills and Competencies

  • Strong financial and analytical skills.
  • Working knowledge of procurement and logistics procedures.
  • Excellent organizational and planning skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite and accounting systems, particularly Sage Intacct Accounting Software.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality.
  • Strong commitment to stewardship and accountability.
  • Ability to work in a multicultural environment.
