Job Title: Executive & Marketing Assistant
Reports to: Executive Director
Department: Administration
Job Purpose: To provide support for the hospital’s a wide range of administrative and executive support related tasks along with visitor care coordination, and marketing/fundraising activities for the hospital.
KEY RESULT AREAS
ACTIVITIES
Administrative and Executive Support
• Perform daily administrative and clerical tasks in support of the Executive Director and the senior management team of the hospital including but not limited to arranging meetings, handling email and phone communications, typing letters/memos/meeting minutes/etc., and general admin duties as assigned.
• Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
• Assist the operations team in compiling data for routine operations reports for the hospital.
• Coordinate the scheduling of available meetings spaces for the hospital.
Coordination and Hosting of Visitors
• Correspond with visitors to schedule dates and reservations in guest house and hotels.
• Organize transportation for visitors to and from Entebbe and Kampala.
• Receive visitors and support their orientation to the hospital and surrounding area.
• Attends to visitors that are seeking for information concerning CHU
• Organize the standardized template for the general Hospital Tour that should be done at CURE outlining the key places to visit and the talking points for each stop on the tour.
• Maintain a data base of visitors.
• Consult with ED and senior management planning for future visitors.
Marketing Support Activities
• Create an email & WhatsApp distribution list of donors to the hospital; Plan regular hospital update emails and social media outreaches to send to the hospital’s contact lists regularly (monthly or other).
• Work together with CURE Storyteller on ideas for weekly/monthly posts about the hospital on Facebook and other Social Media outlets.
• Develop the process for following up and thanking our sponsors regularly (thank you notes, phone calls, receipts, annual donor appreciation certificates, etc.)
• Draft sponsorship/grant proposals and funding requests for potential supporters.
• Maintain the donation boxes at partner locations and a periodic process of collecting the donations and thanking these partners.
Funding/Sponsorship Development Activities
• Assist in coordinating fundraising events for the hospital (i.e. CURE Brain Surgery Run/Marathon, Rotary Neurosurgery Weeks, surgery sponsorship campaigns, dinner events, Sponsor Visitation Days, and other special events).
• Develop funding sponsorships for the hospital from key individuals, businesses, churches, and organizations.
• Support the efforts to host donor visitors to the hospital including welcoming new guests, assisting in hospital tours, local attractions, etc.
Record Keeping
• Maintain an email & WhatsApp distribution list of donors to the hospital.
• Develop a tracking list/database of all sponsors of the hospital and patients. Include key contact information, information about the sponsor’s background, their areas of interest in CURE, etc.
• Keep record of all correspondences from donors in the form of letters, emails, and any other relevant information for future reference.
• Keep record of details of the patient beneficiaries from the donation as accountability to the donors when need arises
• Spiritual Ministry participation
• Participates in the hospital’s Spiritual Ministry programs.
Occupational Health & Safety observed
• All staff are expected to work in such a way that does not cause injury to themselves, other staff members or patients.
• Following & complying with H&S policies, processes & applying them to your own work activities, including using/wearing Personal Protective Equipment as required.
• Participating in activities directed at preventing harm & promoting well-being in the workplace Identifying, reporting & self-managing hazards where appropriate.
• Early and accurate reporting of incidents at work and raising issues of concern when identified.
Essential Qualifications
• Diploma or Bachelor’s degree in Business, Marketing, Administration, Communications, or related field.
• Minimum of 2-3 years work experience in administration positions.
• Prior experience in raising funds for non-profit organizations an added advantage.
• Strong interpersonal skills. the ability to build relationships with a wide variety of people. A proclivity for teamwork and adaptability are all important
• Excellent written and oral skills. the ability to write content for reports and campaigns along with key correspondence for the hospital’s senior management team.
• Organizational skills: multitasking, meeting deadlines and maintaining a high level of accuracy.
• IT skills: work experience with MS Office packages and other databases.

• Strong organizational skills and attention to detail.
