The Office Receptionist/Client support will serve as the first point of contact for visitors, clients, and staff, ensuring a professional and welcoming environment. The role includes managing front desk operations, coordinating communication, supporting administrative tasks, and assisting with travel and logistics arrangements.
Responsibilities
Front Desk & Visitor Management
- Greet and receive visitors, clients, and staff in a professional and courteous manner.
- Manage visitor sign-in, registration, and issuance of passes while maintaining updated logs.
- Direct visitors to the appropriate person or department.
- Maintain a clean, organized, and presentable reception area.
- Ensure adherence to company policies and visitor security procedures.
Communication & Customer Service
- Answer, screen, and forward incoming phone calls.
- Respond to inquiries via phone, email, and in person.
- Ensure clients, callers, and visitors feel supported and valued.
Mail & Deliveries
- Receive, sort, and distribute incoming mail, packages, and deliveries.
Administrative & Clerical Support
- Assist with photocopying, scanning, filing, and data entry.
- Maintain office supplies inventory and place orders when necessary.
- Provide administrative support in planning and organizing company engagements and activities.
- Prepare folders, brochures, and other company information for distribution to stakeholders.
Travel & Logistics Support
- Provide staff with travel support, and related requirements.
- Liaise with travel agencies for bookings, payments, and follow-ups.
- Support staff in processing visas, insurance, and travel documentation.
- Assist with planning and execution of staff and stakeholder visit/tour schedules.

- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office and office equipment.
