Job description

• Develop financial strategy that minimises risk and forecast opportunity;
• Maintain sound Accounting Policies and Procedures;
• Maintain the Accounting IT system with complete and accurate records; Maintain/reconcile the Fixed Assets to the general ledgers;
• Perform regular high level financial reporting and analysis;
• Prepare annual Budget and perform regular review;
• Manage the Cash flows;
• Improve efficiencies and reduce costs;
• Perform product costing and pricing by closely monitoring competition;
• File tax returns and other statutory deductions;

MAIN PURPOSE OF THE JOB:
Provide technical support to OAG for efficient and effective records management in compliance with the applicable laws, regulations, policies and standards.

DUTIES AND RESPONSIBILITIES:
1. Planning for the directorate/department/branch

• Assist to initiate procurement procedures and budget implementation as per the department work plan

2. Undertake periodic inventory and appraisal of OAG records

• Conduct a records survey and update OAG records inventory as and when required.
• Establish records retention and disposal schedules and keep security and protection of vital records.
• Carry out the weeding of non-active records and disposal of obsolete records as per OAG policies and guidelines.

3. Maintain Records Archives Management System appropriate to the changing needs of OAG
• Consult with supervisor on handling e-records and report on any changes made.
• Update records classification system.
• Implement national policies on records and archives management in compliance with the applicable legislation and standards.
• Maintain a Records Management Information System and feed the MIS with relevant data from the archives.

4.Implementation of OAG Records and Archives Management (RAM) policy
• Sensitize and guide staff and stakeholders on the implementation of the RAM policy and archives management activities.
• Carry out the induction of new staff on records management
• Provide guidelines and standard procedures for the creation, managing, use, storage and destruction of records.
• Implement and monitor policies and procedures for the management of document, creation, maintenance, storage and destruction.

5. Provide Access and Reference to Archives
• Archive original audit reports signed by the Auditor General
• Update audit reports and archives database.
• Create and maintain back-up storage of audit reports.
• Carry out accession, preserve and conserve archives to make the records available when needed.
• Retrieve archives and serve archival to cleints as approved by the supervisor.

6. Execute other duties assigned.
• Assist in the reproduction and dissemination of audit reports to stakeholders.
• Participate in the implementation of stakeholder's engagement and sensitization activities in Local Governments.

7. Provide Access and Reference to Archives
• Prepare and submit periodic reports as per OAG guidelines and procedures
• Compile periodic reports for management review.

MAIN PURPOSE OF THE JOB:

Provide secretarial services, receive correspondences, maintain office environment, fix appointments and make follow-ups to support Supervisors and other staff effectively and efficiently.

DUTIES AND RESPONSIBILITIES:
1. Receive and Disseminate Correspondences and Other Information for the Office Custodian of Files

• Provide support in the efficient provision of secretarial services to the Supervisors, and prepare agendas, co-ordinate the production of papers, minutes and keep/retrieve records.
• Provide efficient and effective correspondences, and other information received and disseminated for the office.
• Organise/attend meetings, taking minutes and circulating decisions from the meetings to the relevant action offices.

2. Maintain the Environment of the Office of the Auditor General
• Perform routine check-ups in the office environment and ensure clean and secure surroundings. Deliver a comprehensive range of support activities, proactively troubleshooting and resolve issues which arise.
• Perform routine check-ups and account for office equipment and materials and keep records, within the Office of the Auditor General Office environment.

3. Customer Service

• Attend to visitors/calls and direct them to the rightful Officers they may need to meet/talk to.
• Set up and manage agreed communication system and protocols to ensure consistent standards in all communications from the Supervisors and visitors.

4. Schedule Appointments and Deadlines

• Schedule/maintain, and follow-up on appointments and communicate any changes made.
• Assist in ensuring that demanding workload is appropriately prioritized and all deadlines are met.

5. Process all the Work Assignments
• Organise and store paperwork, documents and computer-based information that may be relevant for the operation.
• Photocopy and print various documents, sometimes on behalf of other colleagues.
• Type, prepare and collate reports and manage database systems.
• Coordinate work, activities within the department within a stipulated time/deadline.

6. Supervise and Develop Staff.
• Set the performance targets together with staff under supervision and carry out performance appraisal for the team.
• Mentor and coach the team.
