Description

Job Purpose

To provide operational administrative support for all caseloads in the Office.

Key Accountabilities

  • Reviewing registration and renewal applications to verify the completeness and accuracy of submitted documents and information, and following up with applicants to resolve any deficiencies prior to determination by the Office.
  • Receiving and reviewing notifications submitted by registered entities in respect of changes in registered particulars, including updates to Data Protection Officer details, organisational information, and the nature or scope of processing activities.
  • Handling requests for certification of documents held by the Office, including certificates of registration and other official records, and ensuring that certified copies are issued in accordance with the applicable regulatory requirements.
  • Providing regulatory guidance to applicants, registered entities, and members of the public on registration obligations, renewal timelines, notification requirements, and related compliance matters under the Data Protection and Privacy Act, Cap. 97.
  • Drafting official correspondence, registration determination letters, compliance notices, and other communications to applicants and registered entities on matters arising from the licensing and registration function.
  • Providing day-to-day administrative and operational support to the Manager, Licensing and Legal Affairs, including managing correspondence, maintaining case files, tracking application timelines, and preparing reports on registration activity.
  • Conducting research on emerging regulatory trends, comparative registration frameworks, and developments in data protection law across regional and international jurisdictions, and preparing research notes and briefings to inform the Office’s licensing policy and practice.
  • Perform any other duties, which may be assigned from time to time.

Minimum Requirements

Education

  • A Bachelor’s degree in Law is a requirement.
  • Post Graduate Diploma in Legal Practice is required.
  • Training in Data Protection and Privacy is an added advantage

Experience

  • A minimum of six (6) months experience in legal practice or corporate legal services with a reputable organisation or law firm

Technical Competencies

  • Excellent customer centricity skills.
  • Good organisational skills.
  • Knowledge of evolving domestic and international data protection and privacy regulation.
  • Ability to produce results with minimal supervision and handle multiple tasks simultaneously.
  • Excellent oral and written communication skills

Behavioural Competencies

  • Able to prioritize and co-ordinate work streams/projects to drive delivery of the overall programme objectives and goals
  • A resilient team player with a ‘can do’ attitude, who is willing to take responsibility, and who works collaboratively with others to develop innovative solutions to complex problems.
