Purpose of the Job
To design, implement, manage and secure Academic Registrar databases to ensure high availability, performance, and data integrity.
Person Specifications
1) An Honors Bachelor’s Degree in any of the following fields from a recognized awarding University/Institution; Education or Arts with Education or Science with Education or 1st Degree with Post Graduate Diploma in Education
2) A minimum of three (3) years’ work experience in Academic Registry, in a reputable institution of higher learning.
3) Proficiency in database management, spreadsheet software for data analysis, word processing, Student Information Management Systems, Microsoft Office Suite and other relevant to academic record keeping.
4) Competency in Computer literacy, Interpersonal & communication skills, Integrity and confidentiality, Customer care, Attention to detail
Duties and Responsibilities:
a) To assist in the arrangements for examination.
b) To draft Academic Transcripts for Soroti University based Programme
c) To draft Academic Certificates for Soroti University based Programme
d) To answer queries and correspondences on Academic Transcripts and Certificates
e) To ensure that Transcript forms are always available.
f) To ensure that examination cards are prepared timely.
g) To monitor the teaching of the University Programme.
h) To assist in the arrangements for Graduations
i) To assist in managing Alumni and Convocation matters
j) Compiles and maintains a data bank for Internal and External Examiners.
k) Assist in the preparation and generation of examination timetables.
l) Participates in guiding on gender and quality assurance issues.
m) Provide custody of Examination Records.
n) Assist to process and issue academic testimonials.
o) Perform any other related duties assigned by supervisor.
Key Outputs
i. Examination timetables prepared and pinned up
ii. Academic transcripts drafted.
iii. Academic Certificate drafted
iv. Students attended to.
v. Examination cards issued.
vi. Examination results properly kept.
vii. Teaching of University Programmes monitored
viii. Timely compilation of University teaching timetables ensured.
