The Role
We are looking for a candidate who is well connected locally and has experience dealing with
commercial retail agents as well as shopfitters and local suppliers. Working knowledge of following
highly sought after; Dealing with local legal issues (esp UMRA, Immigration), experience dealing
with banks and other intermediators and basic bookkeeping. Ability to effectively communicate,
adapt and solve problems essential.
Responsibilities
- Facility Maintenance: Coordinate and oversee routine maintenance tasks, repairs, and renovations for buildings, equipment, and systems.
- Safety and Security: Implement and enforce safety protocols, procedures, and regulations to minimize risks and ensure a secure environment for occupants. Conduct regular inspections, identify hazards, and take corrective actions to maintain compliance with safety standards.
- Supplier Management: Liaise with external vendors, contractors, and service providers for facility-related services, including maintenance, repairs, cleaning, and security. Monitor vendor performance, negotiate contracts, and ensure service level agreements are met.
- Emergency Preparedness: Develop and maintain emergency response plans, procedures, and protocols to address potential threats, such as fires, natural disasters, or security incidents. Conduct drills, training sessions, and simulations to prepare staff for emergencies and ensure a prompt and coordinated response.
- Compliance and Regulations: Stay informed about relevant laws, regulations, codes, and standards pertaining to facility management, safety, and environmental compliance. Ensure adherence to legal requirements and industry best practices to mitigate risks and liabilities.
- Records Management: Maintain accurate records, documentation, and databases related to facility management activities, including maintenance schedules, work orders, inventory, and compliance records. Ensure data integrity and accessibility for reporting and analysis purposes.
- Stakeholder Communication: Serve as a point of contact for facility-related inquiries, requests, and concerns from internal stakeholders, including employees, management, and visitors. Communicate effectively to provide updates, address issues, and solicit feedback to improve facility services.
Minimum Qualification and Desirable behavior
- Diploma in Project Management, Engineering, or related field (or equivalent experience)
- Proven experience in facilities management or related field, preferably in a corporate or institutional setting
- Excellent organizational, communication, and interpersonal skills
- Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment
- Knowledge of budgeting and financial management principles
