Job Purpose

The overall purpose of this role is to provide administrative, paralegal, and operational support to the Legal Department. The role ensures efficient legal workflow management, assists in drafting and reviewing routine legal documents, maintains legal records, supports compliance activities, and coordinates with internal and external stakeholders to facilitate smooth legal operations. The position is foundational to strengthening the department’s responsiveness, accuracy, and overall effectiveness.

Responsibilities

a) Legal Administration

  • Maintain and organize legal files, contracts, correspondences, and case folders in both physical and digital repositories.
  • Support contract management processes, including tracking contract expiry dates, renewals, and approvals.
  • Prepare, format, and proofread legal documents, letters, minutes, demand notices, and routine drafts under supervision.

b) Compliance Support

  • Assist in monitoring compliance calendars for statutory filings, licenses, permits, and regulatory obligations.
  • Support compliance audits, documentation gathering, and follow-ups with relevant departments.
  • Help prepare compliance reports for management.

c) Paralegal and legal support

  • Conduct basic legal research to support the Legal Associate or General Counsel.
  • Summarize statutes, regulations, and case law relevant to ongoing matters.
  • Prepare case briefs, bundles, and hearing documentation.

d) Contract support

  • Support drafting of simple agreements (e.g., NDAs, standard vendor agreements) under supervision.
  • Follow up with departments and external parties to ensure timely execution and safe storage of contracts.

e) Litigation & Dispute Management Support

  • Liaise with external counsel on service of documents, court attendances, filings, and status updates.
  • Maintain an updated litigation tracker, including hearing dates, case updates, and costs.

f) Corporate Governance & Records

  • Assist in maintaining statutory registers and minute books.
  • Support preparations for Board Committee packs, governance filings, and internal audits.

g) Departmental Operations & Digital Transformation

  • Support digitization of contracts, legal workflows, and implementation of legal request tracking systems.
  • Assist in improving turnaround time through standardized templates and checklists.

h) Cross-Functional Coordination

  • Coordinate with Finance, HR, Procurement, Sales, and Operations to follow up on legal requests, documentation, and compliance requirements.
  • Support the Finance team with debt recovery documentation, issuing demand notices, and liaising with external counsel.

Person Specification

Education, Training, Skills & Experience

  • Bachelor of Laws degree (LLB) from a recognized institution (3rd year and 4th year students to be considered).
  • Basic understanding of legal processes, contracts, compliance, and litigation procedures.
  • Strong research, writing, and document management skills.
