The Need

For 25 years, IJM has pioneered the work to protect vulnerable people from violence. As we grow to expand our impact to protect 500 million people globally from violence by 2030, we are seeking to recruit an ADMINISTRATIVE ASSISTANT- FORT PORTAL.

Job Summary: Provides administrative, communication and logistical support to ensure priorities are effectively managed. This role serves as a central point of coordination, enabling smooth internal operations and external engagements while maintaining professionalism, confidentiality and excellence in execution.

Key Responsibilities

  • Gather, review, and summarize information, meeting notes, and correspondence to support decision-making and follow-up actions.
  • Deliver briefing materials, reports, and communications that reflect the priorities and appropriate tone.
  • Execute, process, and validate administrative tasks including but not limited to calendar management, travel planning, and documentation to ensure operational efficiency.
  • Inform, notify, and clarify internal and external communications to maintain alignment across teams and stakeholders.
  • Sequence project milestones and action items to support timely delivery and accountability.

Critical Qualities

  • Mature Christian faith as defined by the Apostles’ Creed.
  • Strong written and verbal communication skills with the ability to craft clear, professional correspondence and reports.
  • Proven ability to manage multiple tasks and priorities with precision, discretion, and minimal oversight.
  • High proficiency in office software tools (e.g., Microsoft Office Suite) and comfort with digital systems for documentation and scheduling.
  • Demonstrated capacity to engage effectively with diverse teams and stakeholders, fostering collaboration and trust.
  • Skilled in organizing, processing, and delivering information and logistics in a fast-paced, dynamic environment.

Requirements

  • A certificate/diploma in office management.
  • A minimum of two (2) or more years of experience as office administrator or similar position preferred.
  • Basic computer skills, including proficiency in common office applications.
  • Ability to process vendors, including maintaining vendor records and supporting procurement processes.
  • Meticulous with attention to detail.
  • Fluent in written and oral communication in English, with working knowledge of local language required.
