The Document Controller will be responsible for managing, organizing, maintaining, and controlling company documents and records to ensure accuracy, security, accessibility, and compliance with organizational policies and regulatory requirements.
Key Roles and Responsibilities
- Establish and maintain an effective document control system.
- Receive, register, classify, and distribute incoming and outgoing documents.
- Maintain both electronic and hard-copy filing systems.
- Ensure documents are properly numbered, version-controlled, approved, and updated.
- Archive documents and maintain accurate document registers.
- Control access to confidential records and ensure document security.
- Retrieve documents promptly upon request.
- Support internal and external audits by providing required documentation.
- Coordinate with various departments to ensure proper documentation processes are followed.
- Monitor document retention schedules and ensure timely disposal of obsolete records.
- Prepare periodic reports on document control activities.
- Ensure compliance with company policies, quality management systems, and statutory requirements.
Qualifications and Experience
- Bachelor's Degree or Diploma in Records Management, Library and Information Science, Business Administration, Information Management, Archives Management, or a related field.
- At least 2 years of experience in document control, records management, administration, or a related role.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
- Experience with Electronic Document Management Systems (EDMS) is an added advantage.
- Excellent organizational and records management skills.
- High level of accuracy and attention to detail.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and integrity.
- Excellent time management skills and ability to meet deadlines.
