Job Summary

We are looking for a reliable and detail-oriented Back Office / Admin Officer to handle administrative duties, tender documentation and submission, and quotation preparation. The ideal candidate must be organized, proactive, and capable of supporting multiple operational tasks in a fast-paced office environment.

Key Responsibilities

1.Tender Submission & Coordination
2. Monitor and track government and institutional tender opportunities.
3. Download and review tender documents, summarize requirements.
4. Coordinate internally to gather necessary technical and pricing details.
5. Prepare, format, and submit complete tender documents before deadlines (both hard copy and online).
6. Maintain a tracker of submitted tenders and follow up on evaluation outcomes.
7. Quotation Preparation
8. Prepare timely and accurate quotations for client inquiries and repeat orders.
9. Ensure price accuracy by coordinating with the procurement and sales teams.
10. Format quotations professionally using company templates.
11. Follow up with customers to confirm receipt and feedback on quotations.
12. General Administrative Tasks
13. Handle filing and documentation of all official records (digital and paper-based).
14. Manage internal communication between departments for approvals and updates.
15. Maintain inventory of office supplies and coordinate procurement when needed.
16. Support audit, reporting, and compliance documentation.
17. Assist management with basic data entry, email correspondence, and reporting.

Qualifications & Skills

- Diploma or Degree in Business Administration, Procurement, or related field.
- 1–3 years of experience in a similar administrative or back-office role.
- Proficiency in MS Office Suite (especially Word, Excel, Outlook).
- Strong attention to detail and ability to manage deadlines.
- Good communication and written English skills.
- Experience in handling tenders through PPDA or institutional portals is an added advantage.
- Trustworthy, proactive, and highly organized.
