The Digital Systems & Data Management Analyst is a critical position responsible for strengthening the Group’s internal digital infrastructure, advancing the development of a centralized project database, and serving as the primary coordination point for AFCEN-related project execution, tracking, and reporting. This role is ideal for a highly organised, agile, and technology-driven individual skilled in workflow optimization, data architecture, digital documentation systems, and stakeholder communication.
Responsibilities or duties
1. EDMS & Group database management system (GDMS) development & administration
Objective: Build, maintain, and continuously optimise the Group’s unified digital database platform as the single source for all project-related data.
Key responsibilities:
- Work with an external provider and lead internal efforts to design and architecture of the GDMS, including database schema, hierarchy, data rules, and access management.
- Configure digital filing frameworks, ensuring accuracy, version control, and real-time accessibility of records.
- Administer user permissions, digital security, and data confidentiality protocols.
- Establish and enforce metadata standards for file naming, indexing, and categorisation.
- Conduct structured database audits and integrity checks.
KPIs:
- EDMS & GDMS uptime & accessibility: 99% system reliability
- Digital record retrieval speed: that support project execution, cross-team collaboration, IT-based monitoring, and data-driven decision-making.
Key responsibilities:
- Evaluate and recommend digital solutions: project management platforms, workflow tools, dashboards, analytics, document automation.
- Manage implementation, onboarding, and staff training.
- Develop automated reminders, digital trackers, and notification systems.
- Implement structured data intelligence features: tagging, cross-referencing, search automation.
KPIs:
- Number of new digital systems/tools successfully rolled-out
- Workflow cycle time improvement: ≥10% yearly efficiency gain (aligned with original process-efficiency KPIs)
Qualifications or requirements (e.g., education, skills)
Required:
- Bachelor’s degree in IT, Information Systems, Project Management, business or related field.
- Minimum 2 years’ experience in data or systems administration, IT project coordination, or technical project support.
- Deep proficiency in digital tools, database systems, cloud storage solutions, and information management platforms.
- Exceptional organisational skills, detail orientation, and ability to manage structured data at scale.
