Job Purpose: The Project Officer is responsible for facilitating the organization’s projects implementation, monitoring, and reporting to ensure projects achieve their objectives effectively and efficiently. This often involves working closely with partners, stakeholders, and project teams to manage various aspects of the project cycle

Principal: Accountabilities

Project Management

  • Support partners in managing all aspects of the project cycle, including planning, implementation, and monitoring and any other duty related to the project cycle.    
  • Ensure timely production of all project documentation and reports for all the organization’s project activities.
  • Coordinate with partners for the timely submission of quarterly reports and Key Performance Indicators (KPIs) as indicated by the organization in line with each project assigned to them.
  • Review progress reports, analyze KPIs, and provide timely feedback to partners and the management team.
  • Develop and implement project work plans on an annual, six monthly, or quarterly basis as well as the corresponding reports of the projects that have been implemented.
  • Conduct regular field visits with the implementation team to ensure smooth implementation of the planned project activities such as borehole construction, construction and renovating of school where the orphans go for schooling.
  • Prepare briefing papers and project updates for periodic review meetings.
  • Compile project beneficiary case studies when required
  • Support in new project proposal writing when necessary.
  • Support in the implementation of project activities in a specific site or district.
  • Manage day-to-day project activities, including budget oversight, and coordinate with external stakeholders
  • Ensure project activities align with global standards and local government requirements
  • Contribute to the design, planning, management, and monitoring of project activities, particularly those related to civil society strengthening
  • Establish monitoring and evaluation systems and ensure timely submission of all activity reports by implementing partners.
  • Contribute to the wide dissemination and visibility of project achievements

Partnership Development

  • Maintain and strengthen partnerships with implementing partners.
  • Support networking with key stakeholders in project districts
  • Liaise with district local government officials, civil society organizations, and community-based organizations
  • Coordinate with partners and support groups to establish and maintain collaborative relationships
  • Maintain close coordination with assigned project partners to ensure synergies and avoid overlaps

Financial & Resource Management

  • Work closely with the Finance & Support Services department to help prepare monitoring expenditure
  • Ensure close monitoring of activities and disbursements

Communication & Advocacy (Specific to some roles)

  • Support the development and implementation of communication and visibility plans.
  • Support advocacy activities by preparing materials such as policy briefs and technical notes
  • Collect and package human-interest stories and testimonials

Skills and Qualifications

Knowledge (Education & Related Experience)

  • University Degree in a relevant field (e.g., Social Sciences, Development Studies, Public Health, Women and Gender Studies, Human Rights, Community Development, Public

Administration, Political Science, Economics)

  • Minimum of 2-5 years of working experience in project management, preferably with NGOs, government partners, or in development assistance
  • Experience in all aspects of project management.
  • Experience in implementing projects related to specific thematic areas such as Gender and Sexual Reproductive Health, or civil society development
  • Knowledge of database management and good command over MS Office

Skills (Special Training or Competence)

  • Report writing, problem-solving, and analytical skills
  • Social mobilization skills to enhance social activities such as food packages and gift packages give out to community and other community outreach
  • Good understanding of working with project budgets, forecasts, and reports
  • Excellent communication skills (both oral and written), proficient in English and local languages relevant to the project location
  • Good presentation, facilitation, and analytical skills
  • Computer skills in Microsoft Word, Excel, and PowerPoint
  • Good program formulation, implementation, monitoring, and evaluation skills.
  • Strong organizational skills and attention to detail
  • Ability to exercise sound judgment and make decisions quickly and independently

Employment Type: Often Fixed Term, with durations varying based on project needs, the contract period will be 12 months’ renewable based on the funding and out which the 3 months will be probationary.
